Overview:

We are a compassionate and highly respected elder law firm located on Long Island, dedicated to serving older adults and their families with sensitivity and integrity. We specialize in legal matters such as Medicaid planning, guardianships, estate planning, wills, trusts, and long-term care solutions. We are seeking a personable, organized, and patient Intake Specialist to join our team and be the first point of contact for our valued clients.

Position Summary:

As our Intake Specialist, you will play a critical role in creating a positive first impression for clients reaching out during often stressful and emotional times. You will handle inbound calls and inquiries, gather essential information, schedule consultations, and guide potential clients through the initial steps of the legal process. Your ability to listen with empathy, communicate clearly, and maintain a calm and friendly demeanor will help put our clients at ease.

Key Responsibilities:

  • Answer and manage incoming phone calls with professionalism, warmth, and empathy.
  • Serve as the first point of contact for new and prospective clients.
  • Collect and accurately record client information using established intake procedures.
  • Schedule consultations and follow up with clients as needed.
  • Explain the firm's services clearly and concisely while remaining reassuring and respectful.
  • Maintain client confidentiality and ensure compliance with privacy laws and firm policies.
  • Work closely with attorneys and legal staff to relay client information and ensure a seamless handoff.
  • Keep organized records and update client management systems promptly and accurately.
  • Continually improve intake procedures through feedback and collaboration.

Qualifications:

  • Exceptional phone and interpersonal skills.
  • Patient, calm, and empathetic, particularly with elderly clients and family members.
  • Highly organized and detail-oriented; able to manage multiple tasks efficiently.
  • Excellent written and verbal communication skills.
  • Able to follow structured processes and adapt to new systems and procedures.
  • Tech-savvy; comfortable using client intake software and office productivity tools.
  • Experience in a law office or with elder care services (preferred but not required).
  • High school diploma or equivalent required; additional education or experience in legal or healthcare fields is a plus.
  • Full-time, on-site position in a professional office setting.
