WIC Nutrition Program Administrative Assistant
Under the supervision of the WIC Director, this position performs a variety of administrative and professional work functions to support the operations of the WIC Nutrition Program. This position requires knowledge of and proficiency in Microsoft WIC software. This position requires thorough knowledge of and proficiency in WIC eligibility policies and procedures. This position requires the ability to develop working relationships and maintain effective communication with administration, Microsoft Support Desk, State and City IT departments, State Medicaid, SNAP and TANIF offices, WIC personnel, WIC participants, and community partners.
Essential Responsibilities:
- Performs financial assessments for WIC participants that include review of financial documents and determination of income eligibility.
- Performs residency assessments for WIC participants that include review of residency documents and determination of residency eligibility.
- Performs anthropometric assessment for WIC clients that include weighing, measuring, lab work and plotting on growth charts.
- Assists with management of patient flow and customer service in the WIC clinic.
- Maintains accurate inventory of WIC food cards, clinic materials, and supplies at WIC clinics.
- Handles client complaints in WIC clinics. Refers to WIC administration when appropriate.
- Performs quality assurance activities.
- Schedules appointments for WIC participants utilizing electronic scheduling software.
- Answers multi-line telephone system and process calls in an efficient, professional, and friendly manner using correct grammar.
- Distributes supplies and equipment to WIC clinics according to inventory balances and requests. May be responsible for delivering supplies and equipment to WIC clinics. May travel to satellite WIC clinics to conduct clinic operations.
- Maintains proficiency in all software applications and policies by attending trainings, webinars, reading printed updates, and researching problem issues.
- Performs all other related duties involved in the operation of the WIC Nutrition Department as assigned or required.
- Must be sensitive and responsive to diverse cultural and ethnic groups.
- Must have a willingness to learn and assume responsibility.
- Bilingual in Spanish desirable.
Minimum Requirements:
- High school diploma with three (3) years of WIC or related work experience. Completion of basic college courses preferred. Such alternatives to the above qualifications as the administration may find appropriate and acceptable. Must have a valid Texas driver's license.
Knowledge, Skills, and Abilities:
- Ability to lift/carry up to 30 lbs.
- Ability to stoop, bend, sit, and walk on a continuous basis.
- Ability to drive to neighborhood clinics in Potter/Randall/Carson/Oldham/Armstrong counties.
- Ability to handle contentious clients in a professional manner.
- Ability to work with various types of office-related software.
- Ability to use the following: computer, document scanner, electronic signature pad, EBT card reader/writer, copier adult weight scale, infant weight scale, adult measuring device, infant recumbent measuring board, centrifuge, hemoglobin spectrometer, DVD recorder, laminator, and multi-line telephone system.
- Strong verbal and written communication skills required.
- Ability to multitask appropriately.

Work Environment:
Monday through Friday, 8am to 5pm. May require occasional after-hour work to attend meetings, finish projects, and meet deadlines.
May work in clinics with high noise level or extreme temperature fluctuation. Risk of exposure to communicable diseases. May be required to attend meetings out of town and travel by automobile and/or airplane.
