Intake Specialist (All Shifts)

This position reports to shift supervisor. Clinical professional responsible for facilitating admissions and completing initial clinical intake assessments. Responsible for ASAM assessment for level of care, determining eligibility for services, gathering necessary information, and facilitating smooth transitions into the facility by coordinating with the Counseling and/or Nursing departments.

Objectives / Responsibilities

  • Facilitate clinical review process of potential admissions and referrals.

  • Respond to phone calls and inquiries about the facility within policy timeframes. Respond back to any Answering Service messages with replies noted in their system.

  • Complete all admissions and consent forms with the patient.

  • Provide initial screening and level of care assessment.

  • Completion of ASAM assessments.

  • Responsible for maintaining your patient wait times (informing supervisor if there are delays or concerns).

  • Facilitate insurance verification process and secure appropriate funding. Perform benefit eligibility to ensure patient benefits are active at the time of admission. If needed, contact the Single County Authority to obtain county funding and completing necessary consents and paperwork in PA WITS.

  • Collaborate with the Nursing, Medical or Psychiatric department leaders to ensure appropriate recommendations regarding pending referrals.

  • Coordinate admission and transfer from referral sources and between levels of care within the facility.

  • Maintain knowledge of milieu management.

  • Assist with new admission arrival procedures such as searches and UDS as needed.

  • Communicate projected admissions to designated internal representatives promptly.

  • Assist the Nursing leaders with ensuring all clinical information from referral sources or patient (including medical comorbidity information) is received, when possible, prior to patient admission.

  • Possess skill in preparing and maintaining appropriate medical record documentation that will result in authorization at the level of care being requested of the payor.

  • Complete pre-authorization for treatment and admission prior to admission, when possible, and within payor timeframe guidelines.

  • Obtain insurance authorizations and complete insurance notifications.

* Serve as a clinical liaison between interdisciplinary team (providers, nursing,

clinicians).

*Facilitate new admission orientation of hospital and/or residential service

*Serve as a community liaison and maintain partnerships with referral sources within the community.

*Demonstrate a positive, empathetic and professional attitude towards customers always. When patient needs are not met, acknowledge and work to resolve complaints. Recognize that patient safety is a top priority.

*Respect patient confidentiality and privacy.

*Other related duties as assigned.

Educational Requirements

A Bachelor's degree required. A Social Work or Master's degree in a social services field (psychology, counseling, social work, sociology, or health administration) from a college or university accredited by the Council on social Work Education preferred.

Qualifications

Preferably, work experience would include some prior experience in the field of substance use disorders and mental health treatment. Experience in managed care pre-certification process, level of care assessments and utilization preferred.

Physical Requirements

Will be required to move between buildings to bring admissions to the units.

Assist in moving patient belongings which may include lifting or pushing a cart.

Work Environment

Work in normal ventilated office setting.
