Role Overview: The Manager will assume responsibility for the Intake and Provider Services departments and will sit in the Jacksonville office.
- The Provider Services team is responsible for ensuring the accuracy, completeness, and timely processing of all provider profiles and credentials. This function plays a critical role in maintaining the quality assurance and operational efficiency of the HeadsUp Healthcare provider network.
- The Intake team is responsible for receiving, reviewing, and entering all incoming healthcare referrals. They ensure the integrity of referral data and support the seamless onboarding of patients into the HeadsUp Healthcare system.
Role Responsibilities:
- Supervise and mentor a team of Intake and Provider Services Associates, providing guidance on policies, procedures, and professional communication standards.
- Serve as the primary point of contact for staff inquiries, offering resolution for escalated and complex issues.
- Monitor daily workflows to ensure performance goals are met, procedures are followed, and compliance standards are upheld.
- Manage employee relations, including conducting disciplinary actions, overseeing timekeeping activities, and approving schedules and overtime.
- Deliver comprehensive onboarding training for new hires and ongoing coaching for current staff regarding intake and provider services.
- Act as liaison between senior leadership and team members, effectively disseminating updates, training, and procedural changes.
- Conduct interviews and facilitate the hiring process to onboard qualified team members.
- Support development and testing of system enhancements to improve operational efficiency.
- Evaluate completed provider credentialing files and coordinate review by credentialing committees as appropriate.
- Participate in cross-functional meetings, including credentialing committee and external partner forums (e.g., AAPAN).
- Oversee delegation audits and collaborate on client reporting and compliance efforts.
- Produce and manage provider network reporting for clients, including Active Roster, MPN, and other network-related data.
- Perform additional administrative responsibilities as assigned.
Role Qualifications:
- Previous people management experience required
- Ability to work well individually and in a team environment
- Ability to troubleshoot and solve problems
- Experience with CAQH, NCQA, and/or other provider quality assurance programs is preferred
- Exceptional communication skills (written and verbal)
- Must be able to multi-task, follow procedures and have active listening skills
- Intermediate level skills in Microsoft Outlook and all MS Office essentials
