This is a critical role that helps keep operations running smoothly, ensures accurate project coordination, and maintains strong customer relationships.If you're organized, comfortable juggling multiple priorities, and have a background in service dispatching or office coordination, this is a strong opportunity to join a respected HVAC company with long-term stability and great benefits.Key ResponsibilitiesReceive and respond to all client inquiries, service calls, and after-hours requestsPrioritize incoming service tickets and dispatch field technicians accordinglySchedule preventive maintenance visits, repairs, and equipment startupsAct as liaison between the office and assigned field techniciansOrder and track job materialsMonitor open work orders and ensure timely resolution and documentationPrepare weekly technician time reports; verify hours and expensesMaintain and update dispatch board, open call reports, and work notesFollow up on customer issues and ensure satisfactionCoordinate monthly maintenance workload and provide updatesInvoice completed jobs and communicate job status with clientsRequirements3+ years of office coordination or dispatching experience (HVAC or trades preferred)Strong communication skills and professional customer service approachAbility to manage schedules, prioritize tasks, and respond quickly to changing needsFamiliarity with HVAC service operations and terminology a plusProven accuracy and attention to detail in timekeeping and documentationProficient in Microsoft Word, Excel, Outlook,Able to work well with teams and handle deadlines under pressureBenefitsHealth, dental, and vision insurance401(k) with company matchPaid time off and holidaysShort-term disabilityCareer development and long-term opportunity with a solid team
