This non-exempt position reports to the Sr. Director of HR Administration. The incumbent will provide broad HR generalist support to assigned Human Resources practices and systems across multiple business units. This role is based in Orange County
Essential Duties and Responsibilities
· Manages companywide new hire on-boarding process for assigned business units, including background checks, updating new hire file with required administrative information, E-Verify, and E-I9 compliance and re-verification.
· Responsible for New Hire communications: Welcome, Benefits and New Hire orientation emails.
· Manages background check systems and onboarding system dashboards to ensure the systems are activated and that new hires and hiring supervisors enter required information and complete the dashboard assignments timely. Helps new hires and supervisors troubleshoot system access difficulties, follows up with reminders, and elevates to supervisor if tasks are not completed by others on time. Processes invoices for payment.
· Ensures timely recordkeeping of various employee record transactions such as new hires, including offer letters, wage notices and employment applications. Files employee and other department documents as needed, whether electronically or in paper format.
· Manages all aspects of Labor Law poster partner including but not limited to, office location updates, points of contact and adherence to posting requirements, timing and invoicing.
· Backs up verification of employment and unemployment claims as needed. Elevates complex matters to supervisor or relevant HR Business Partner for review.
· Administers Employee Referral Bonus Program, ensuring that all referral bonuses are tracked centrally and coordinates timely payment with the payroll department.
Assists with the management of the Human Resources email inbox. Ensures prompt responses and transfer of requests to appropriate parties.
· Owner of the weekly new hire orientation presentation. Ensures presentation is current and up to date. Sends out and monitors weekly invitations to new hires.
· Maintains knowledge of legal requirements affecting HR functions to help ensure policies, procedures, programs, and onboarding experiences are up to date and compliant. Credibly responds to related inquiries on these topics in a timely manner.
Additional duties and responsibilities may be assigned by supervisor as business needs dictate.
Job Requirements
· Bachelor's degree in human resources, business, or related area preferred.
· Three or more years of progressively responsible human resources generalist and HR system experience.
· Track record of prioritizing multiple projects and tasks to ensure timely delivery of high-quality deliverables.
· Demonstrated ability to collaborate with a wide range of stakeholders while delivering excellent customer service in a rapidly changing environment.
· Effective listening, verbal communication, and written communication skills with proven ability to appropriately adjust messaging to different audiences.
· Ability to work effectively in a fast paced, changing entrepreneurial work environment.
· Proficient in Microsoft Office suite.
· Competent in navigating HRIS systems, ADP Workforce Now ideal but not required.
· Broad knowledge of multi-state employment laws and regulations a plus.
· HR certification (SHRM-CP, PHR) preferred.
