Job Description :
BASIC FUNCTION: Under the direction of an assigned supervisor/administrator, provides a variety of secretarial and clerical duties; plan and organize office activities and coordinate flow of communications for the typing work in support of an assigned supervisor/administrator; provides support to parents, community members, district partners, and other internal and external customers; performs other related duties as required. REPRESENTATIVE DUTIES:
  • Serves as secretary to one or more administrators within an assigned functional area; plans and organizes office activities to coordinate flow of communications with administrators.
  • Maintains and distributes a variety of complex records, lists and files, including confidential materials.
  • Types a variety of items including forms, letters, reports, special projects, memoranda and other materials.
  • May serve as a liaison between the District and the home which may include accompanying the administrator on home visits.
  • Greets office visitors and answers telephones; responds to questions and provides information related to department policies and functions and applicable District rules, regulations and policies, takes messages or refers callers to appropriate personnel.
  • Assists parents and community in completing applications and forms related to District services.
  • Provides information and referrals to appropriate internal and external resources.
  • Schedules meetings, trainings, and workshops.
  • Organizes data, creates files, and prepares reports pertaining to site or department needs.
  • 10. Assures timely communication between office and District employees; receives, verifies and transmits information to other District departments and personnel, parents, students, outside agencies and the public; obtains records and information as needed. 11. Compiles information and prepares reports for assigned programs; composes correspondence and forms independently of from oral directions as directed. 12. Coordinates various projects independently requiring independent judgment and initiative. 13. Schedules appointments and meetings for administrators and maintains an appointment calendar. 14. Attends meetings and takes minutes as required; prepares meeting agendas and assures inclusion of appropriate materials. 15. Operates a variety of office equipment including, but not limited to, computer terminal, typewriter, calculator, telephone, fax, adding machine and copiers. 16. Sorts and distributes mail. 17. Maintains supply inventory of assigned area; orders material, equipment and supplies as needed. 18. Provides work direction and guidance for clerical personnel as assigned. 19. May translate written material from English to a designated second language and from that language into English; may translate conversations or provide interpretive services for non-English speaking individuals and others. 20. Maintains confidentiality of a variety of sensitive information. 21. Performs related duties as assigned. KNOWLEDGE AND ABILITIES:Knowledge Of:
  • Modern office practices, procedures and operations of equipment.

  • Record-keeping and filing techniques.
  • Correct English language usage; vocabulary, spelling, grammar and punctuation.
  • Effective reading, oral and writing communication skills.
  • Operation of standard business equipment and a computer terminal.

  • Research techniques.
  • Translation of written material from English into a designated second language and from that second language into English is desirable.
  • Translation of conversations or interpretive services for non-English speaking individuals and others is desirable.

  • Perform responsible and complex technical clerical duties involving independent judgment and requiring accuracy and speed.
  • Establish and implement revised office procedures as needed and according to established guidelines.
  • Learn appropriate terminology of assigned department and District organization, operations, policies and objectives related to assigned functions.

  • Compose correspondence independently.

  • Type fifty (50) words per minute net from clear copy.
  • Make arithmetic calculations quickly and accurately.

  • Operate a variety of office equipment such as, but not limited to, computer terminal, typewriter, calculator, telephone, fax, adding machine and copiers.
  • MINIMUM QUALIFICATIONS:Experience and Education:
  • Minimum of high school diploma or equivalent; and two (2) years of general clerical and typing experience or any combination of sufficient training and experience to demonstrate the knowledge and abilities listed above.
  • Licenses and other Requirements:
  • Must provide a certified certificate demonstrating the ability to type fifty (50) words per minute net.
  • CPR and Red Cross First Aid Certificates are desirable.
  • Valid State of California Driver's License is desirable.
  • WORKING CONDITIONS:
  • District or school office environment.
  • Subject to many demands on time and constant interruptions.
  • Subject to sitting, bending or stooping, lifting and walking.
  • Subject to working in a school environment and exposure to sunlight and other outside conditions.
  • Subject to working at computer video work station(s), operating computer keyboards, looking at computer video screens.
  • PHYSICAL ABILITIES:
  • Seeing to inspect documents and to read fine print; depth perception to file;
  • Hearing and speaking to communicate with parents, staff and others;
  • Sitting or standing alternately for extended periods of time;
  • Climbing stairs;
  • Dexterity of hands and fingers to operate classroom office equipment;
  • Write legibly;
  • Bending and stooping, reaching overhead and above shoulders; lifting, carrying, pushing, or pulling objects weighing up to twenty-five (25) pounds.
