CBIZ is assisting our client, a landscape design company located in East Hampton, NY in their search for a Human Resources, Safety & Compliance Manager.

Job Summary

The Human Resources, Safety & Compliance Manager will assist with various HR functions including recruitment, employee relations, benefits administration, payroll responsibilities, and staff training. This role also ensures adherence to safety policies, compliance with local, state, and federal regulations, including employment laws, and fosters a culture of safety and risk mitigation across all operations.

Key Responsibilities:

Human Resources

  • Assist in recruitment and hiring processes, including posting job openings, screening resumes, scheduling interviews, and conducting reference checks.
  • Maintain employee records, ensuring accuracy and confidentiality.
  • Manage the onboarding process, including preparing new hire paperwork ( including employee packets, I-9) and conducting orientation sessions.
  • Support benefits administration, including employee inquiries regarding benefits, open enrollment, and leave management (health insurance, dental insurance, open enrollment periods, PTO & Sick leave, 401k).
  • Manage Company handbook to match laws, regulations, and Company policy changes. At least 1x annually.
  • Assist in managing timesheet collection and monitoring.
  • Compliance & certification renewal calendar, PTO calendar.
  • Handle employee relations issues and assist with conflict resolution, as needed.
  • Manage employee accident, injury, and disciplinary record keeping.
  • Work closely with insurers to address employee concerns and project needs.
  • Subcontractor insurance forms- annual renewals and new subs.
  • Maintain Company drivers list for insurance.
  • Distribution of the General Liability and Certificate of Insurance to clients.
  • Ensure compliance with local, state, and federal labor laws and regulations.
  • Assist in organizing training and certifications, and development programs for employees.
  • Utilize payroll system and insurance support portals (Epic Risk Management Center).
  • Assist in the direct training of managers, supervisors and any staff members who manage 1+ employees.
  • General: preparing reports, filing documents, and answering HR-related inquiries.

Compliance & Safety Management

  • Develop, implement, and update workplace safety programs and policies.
  • Conduct regular safety inspections at Company sites, equipment yards, and offices.
  • Identify potential hazards and recommend corrective actions.
  • Lead incident investigations to determine root causes and implement preventive measures.
  • Organize and facilitate safety training for employees, including new hire orientation and ongoing refreshers.
  • Maintain accurate records of safety meetings, training, inspections, and incident reports.
  • Ensure compliance with OSHA, EPA, DOT, and other relevant safety and environmental regulations. Stay updated on changes in laws and regulations affecting landscaping operations and communicate updates to management.
  • Assist fleet manager vehicle and equipment compliance, including inspections, registrations, and operator certifications.
  • Assist with the management and monitor MSDS (Material Safety Data Sheets) and ensure proper labeling and handling of chemicals.
  • Collaborate with management to develop emergency response plans.
  • Serve as the point of contact for regulatory inspections and audits.
  • Manage workers' compensation claims and collaborate with HR and insurance providers to ensure proper documentation and resolution.
  • Work closely with supervisors and crew leaders to enforce safety practices on job sites.
  • Serve as a resource for employees to address safety concerns and provide guidance on best practices.
  • Maintain all employee, certification, and compliance records according to law.
  • Promote a culture of accountability and proactive safety behavior within the team.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent work experience).
  • Basic knowledge of HR principles and practices.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and time-management abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Previous experience in an HR or administrative role is a plus.
  • Must understand the importance of, and exercise, confidentiality for both the Company, Employees, and our Clients ( business practices, standards, subcontractors, vendor, client information including photography, correspondence, property addresses, and any other private information).
  • Bilingual a plus but not required.
