Support the overall operation of the Human Resource Department in daily administrative functions. Assist the Director of Human Resources with key responsibilities for both offices, including new hire administration, employee relations, training, and communication with hotel departments and corporate offices.
Responsibilities
Support the employment process including applicant screening, eligibility determination, reference checks, and paperwork verification. Refer potential new hires to department managers for interviews. Assist with outgoing correspondence and memorandums. Maintain logs (new hires, terminations, transfers, meetings, reports) and prepare reports. Assist with benefit administration (health insurance, vacation, sick leave, retirement, etc.) ensuring policies are followed and forms are accurate and submitted timely. Coordinate pre-employment steps like drug testing and reference checks for compliance. Respond to applicants via telephone or letter within required timeframes. Complete paperwork for new hires, terminations, payroll, and employee status changes promptly and accurately. Assist with New Hire Orientation and benefits overview, enrollment, and claims processing. Present the Highgate Handbook and explain policies and procedures. Notify managers of reviews, prepare payroll forms, and track completion to ensure timeliness. Maintain accurate employee records. Assist with OSHA, Workers Compensation, and Unemployment Claims. Greet associates, managers, and potential hires at the HR reception area. Assist in producing the Employee newsletter. Maintain associate files and ensure weekly filing is completed. Assist with Employee Relations Events. Ensure compliance with the Immigration Reform and Control Act. Manage inventory of office and benefit supplies, and complete purchase orders. Keep employee bulletin boards current with memos, photos, and materials. Distribute paychecks and collect signature pages. Support other hotel projects as needed. Provide administrative support to the GM, including scheduling and coordinating meetings and events. Assist with hotels social media management and online presence, including updates and responses. Manage website updates with Hyatt Brand Analytics and Micros Interactive. Track and report daily Medalia results, and follow-up on guest issues. Administer hotel programs such as MOD, Lobby Ambassador, and Zone management, ensuring timely follow-up and communication. Coordinate with corporate offices and senior leadership, ensuring compliance with deliverables. Assist with Gold Passport Reception and VIP invitations. Follow up on guest communications and requests, confirming receipt and forwarding as needed. Coordinate and follow-up on corporate requests in the GMs absence and support finance reporting. Assist other departments during guest influxes as needed. Qualifications
- Associates or Bachelors Degree in Human Resources or equivalent experience (1-3 years).
- At least one year of hotel or HR-related experience.
- Ability to work long hours when required.
- Light physical effort, up to 20 pounds occasionally, 10 pounds frequently.
- Warm, friendly demeanor and excellent communication skills.
- Ability to multitask, prioritize, and meet deadlines.
- Attentive, courteous, and service-oriented attitude.
- Attendance and grooming standards in line with hotel policies.
- Ability to handle problems proactively and maintain confidentiality.
- Basic PC skills, minimum 35 WPM typing, professional communication, bilingual skills a plus.
