Responsibilities
- Assist Recruiters with sourcing, screening, scheduling internal /external candidates and completing background/employment reference checks
- Conduct employment and background reference checks on prospective candidates. Evaluates results and communicates to Recruiters
- Review completed employment applications for accuracy and completion; and set up online assessments for job candidates; respond and resolve job candidate questions regarding testing and other issues that may arise during testing sessions
- Handle new hire paperwork processing, verifying proper completion of forms, ensuring acceptable documents and identification are provided, and follow up with new hires regarding missing documents and/or forms
- Professionally answer all incoming calls and respond to or filter calls as able regarding requests, questions, or problems, usually comprised of inquiries regarding the recruitment process, web site information, interview appointments, and other Human Resources (HR) related information. Redirect calls or take messages as appropriate
- Initiate and track time critical probationary evaluations for all staff and alert Senior Recruiter of results in a timely manner
- Utilizing Applicant Tracking Systems, responsible for creating monthly recruitment reports to Fund management - time to fill, hires per source, temp agency expenses, advertising costs, etc. Notify Recruiter of identified trends and assist with revising recruiting methods/procedures accordingly
- Process and track all Recruitment invoices; follow up with Accounts Payable and the appropriate vendors as needed to ensure recruitment expenditures are paid in a timely manner
- Back up to HR Assistants, testing, and Administrative Assistants as needed
- Provide back-up support to Recruiters in communicating with prospective candidates regarding verbal and written offers, counter offers, accept/decline offers, etc.
- Perform additional duties and projects as directed by management
- Must meet performance standards including attendance and punctuality
Qualifications
- Bachelor's Degree or equivalent years of work experiences required
- Minimum two (2) years general HR/recruitment office experience required
- Intermediate skill level in Excel and Outlook required; Applicant tracking system (ATS) experience required
- Excellent interpersonal and communication skills – oral, written, and listening; professional appearance and ability to maintain the confidentiality required of the organization and department
- Prior experience working in a Human Resources department, staffing agency or experience working in a Union environment a preferred
- Must be able to work independently and be a team player; excellent organization skills, detail-oriented, and flexible
- Ability to establish and maintain effective working relationships with other employees Funds, the Union, vendors, and the public
- Ability to work well under pressure to meet deadlines, multi-task, make sound judgments, management time effectively and prioritize work assignments
- Professional appearance and excellent oral/written communication skills a must to accurately and professionally communicate with management, applicants, and employees
- Ability to meet tight deadlines and handle competing priorities
