Job Overview: As a Human Resources Assistant, you will provide comprehensive HR support and services to ensure the organization runs effectively and its associates are well supported. This hybrid opportunity is based out of our city corporate office in Chicago, IL. Your Responsibilities:
  • Provide exceptional level of service to our associates by answering questions, responding quickly and following up on information needed.
  • Maintain accurate employee records/files both electronically (HR database) and in hard copy format, and compile reports from HRIS database as needed. Maintain company organization chart on monthly basis, or as needed.
  • Provide support to associates with inquiries related to the HRIS, ADP Vantage, including (but not limited to) timecard adjustments, reviewing time off allowances, updates to personal data, etc.
  • Maintain HR mailboxes and respond to inquiries in a timely manner.
  • Recruiting duties, as assigned, including but not limited to, phone screens, interview scheduling & logistics, internal transfer conversations, maintaining requisitions, and hiring manager support.
  • Assist with onboarding new associates and internal transferring associates to ensure proper access is provided in partnership with IT, internal teams, and the hiring manager.
  • Process all background checks and applicable drug screenings for corporate and client employees.
  • Complete I-9 verifications through E-Verify.
  • Lead new hire orientation HR session on a bimonthly basis.
  • Provide timely documentation for new hires and separations.
  • Create and post monthly New Hire Announcement on SimplrHub in partnership with HR Business Partners and local management team.
  • Sort incoming Human Resources department mail, respond to requests, and distribute mail to the appropriate department/leader.
  • Track all-team call facilitators and communicate with next week's facilitator to remind them of their upcoming facilitation and provide them with all-team call scripts.
  • Collect, track, and report on all required industry licensing and designations for all applicable associates.
  • Create ad hoc reports including, but not limited to, mid-year & annual performance progress reports, harassment prevention training status, birthdays & anniversaries, milestone tracking, etc.
  • Enter work tickets and partner with National Shared Services Center for escalated inquiries regarding payroll and withholdings, benefit enrollment or provider questions, and HRIS administration including audits, reporting and compliance requirements.
  • Support local and national Human Resources and business initiatives with assigned projects, process improvements, and best practices.
Skills & Qualifications:
  • Associate's degree or higher in Human Resources, Business, or a related field.
  • One year of human resources experience, preferred.
  • ADP Vantage or ADP Workforce Now experience preferred.
  • E-Verify for I-9 verification experience preferred.
  • Jobvite, Telemetry, or Employ experience preferred.
  • Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions.
  • Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time.
  • Superior oral and written communication skills.
  • Proficiency with Microsoft Office Suite and MS Teams.
