Rivkin Radler LLP is seeking a Human Resources Assistant to join our Uniondale, Long Island office. This role provides administrative support to both the Human Resources team and the Director of Legal Talent. The ideal candidate is detail-oriented, highly organized, and eager to support a busy and collaborative team in a fast-paced law firm environment. Key Responsibilities: Recruitment and Onboarding: • Track and consolidate candidate records from multiple recruiting platforms and employment agencies. • Schedule interviews and prepare materials for candidates and interviewers. • Administer in-office skills testing for legal support staff candidates. • Coordinate onboarding logistics, including scheduling, paperwork, orientation session setup, and orientation materials for new hires. • Provide support for summer associate recruitment activities, including interview scheduling, material preparation, and candidate tracking. • Assist in coordinating law school on-campus interviews (OCI), job fairs, and recruitment events by preparing materials and organizing schedules. • Maintain accurate and up-to-date files and records related to recruitment and professional development programs. HRIS: • Responsible for maintaining legal assistant attendance records, including updating employee timesheets and schedules. • Fix missed/incorrect punches for staff in our HR/Payroll database. • Troubleshoot and resolve HR/Payroll database issues for staff and attorneys and address questions or concerns related to PTO balances and system use. • Prepare basic HR reports and support additional data entry as needed. Benefit Administration and Compliance: • Track benefits eligibility milestones and prepare two-month benefits memos for new hires approaching their eligibility date. • Set up and maintain the firm's labor law poster subscription service to ensure timely compliance updates. • Support employees with enrollment questions and assist them in navigating HR/Payroll database benefit selections. • Respond to routine employee benefits questions and escalate as needed. • Build and manage the Open Enrollment setup in HR/Payroll database, including plan configuration and testing. • Resolve data discrepancies in HR/Payroll database and ensure benefit records are accurate for payroll processing. Employee Engagement & Program Support: • Assist with the firm's wellness program, including scheduling events, tracking the wellness budget, booking rooms, sending invites, tracking RSVPs, and coordinating food orders. • Submit invoices to Cigna for reimbursement in accordance with wellness budget guidelines. • Assist in planning and executing firm-wide professional development programs, including training sessions and mentorship programs by preparing presentation materials, update Associate Links mentoring group assignments and tracking events. • Assist with employee milestone recognition initiatives and firmwide engagement activities by preparing invites and ordering materials. Administrative: • Maintain accurate and up-to-date employee personnel files and HR databases, ensuring records are well-organized and compliant with Firm policies. • Maintain and regularly update the firm's internal reference tools, including the firm telephone directory, administrative guide, floor plans, and organizational chart. • Support HR and Legal Talent teams with filing, scanning, scheduling, and other clerical tasks. • Provide internal updates for firm announcements, including new hires, open roles, birthdays, and work anniversaries. • Assist with special projects and perform other related duties as assigned. Qualifications: • 2+ years of experience in an HR support role preferred; law firm or professional services environment a plus. • Exceptional organizational skills with strong attention to detail. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). • Experience with Ceridian Dayforce (HR/Payroll Database) or other HRIS/ATS a plus. • Excellent written and verbal communication skills. • Ability to handle confidential information with discretion. • Professional demeanor and team-oriented. Hybrid Hours: Monday-Friday, 9am-5pm Minimum 4 days a week in office 1 day a week remotely Congenial fast-paced environment, competitive salary and benefits. EOE. Job Type: Full-time The annualized salary range for this position is $45,000 to $55,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
