Job Description :

Provide support for daily human resource operations. Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees. Provide customer support to applicants, new hires, and district employees. Organize and manage Student Teachers and Observers. QUALIFICATIONS: Education/Certification: High school diploma required Bachelor's Degree preferred Special Knowledge/Skills: Effective communication and interpersonal skills Ability to work in a fast-paced environment, quickly and efficiently Ability to use software to develop reports, spreadsheets, and databases Professional customer service experience Efficient file maintenance and organizational skills EXPERIENCE: One to three years of secretarial/office experience preferably in a public education environment and/or personnel services MAJOR DUTIES AND RESPONSIBILITIES: HR Support

  • Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
  • Maintain HR information database to ensure that employee information is accurate, current, and reliable.
  • Reconcile job descriptions with position control to ensure that there is a job description for every job. Follow up with supervisors to make certain that job descriptions are reviewed and updated on a regular basis.
  • Ensures job descriptions for positions that are funded through grants are correct and proper notification is communicated to the employee.
  • Receive and process applications, including verifying completeness of files and notifying those not selected for employment.
  • Process new hire paperwork including transcripts, reviewing I-9 documents, references, application and other onboarding materials.
  • Conduct new hire meetings.
  • Maintain the Human Resources section of the district website to ensure accurate information
  • Monitors Human Resources records emails and responds accordingly.
  • Maintain the district online application system and communicates any changes needed to third party vendor.
  • Act as public relations agent among all district employees including facilitating a yearly PR event on behalf of the Human Resources Department.
Records, Reports, and Correspondence
  • Assist with the processing of requests for official district personnel records and open records
  • Assist with requests for verification of employment.
  • Prepare correspondence, forms, and reports according to district standards and requirements.
  • Prepare and distribute or post job vacancy announcements and advertisements. Ensure open positions are posted on district website as well as other job posting sites.
  • Prepare and submit the monthly New Hire Report to the Texas Office of the Attorney General.
  • Oversees the administration of Perform including maintaining tasks within the employee appraisal process and notifying appraisers of incomplete tasks to ensure timely completion of the appraisal process.
  • Manage appraisal data within Perform to support accurate and timely reporting for the Teacher Incentive Allotment (TIA) program.
File Management
  • Receive and process all personnel requisitions including reconciling vacancies with approved staff allocations, verifying accuracy of information
  • Process new hire paperwork and coordinate new hire information with the Business Office.
  • Process any change of status forms and coordinate with the Business Office.
  • Maintain digital personnel files for all employees.
  • Technical support and troubleshooting for all HR Software systems
  • Maintain and process evaluations to be placed in employee files.
  • Maintain files for all employees and applicants
  • Conducts background checks for contracted employees within the district, identifies individuals requiring fingerprinting, and facilitates communication to ensure compliance.
Student Teachers and Observers
  • Liaison between campuses/universities, principals, host teachers, & technology
  • Manage application, placement, and notification processes
  • Run all background checks on students.
  • Create and monitor district required trainings, and email accounts
  • Provide continual follow up and coordination of issues during semester
  • Create and submit timely stipend document for host teachers
Other Duties
  • Cross Train within the Human Resource Department
  • Back up for the district substitute management system, Smartfind
  • Assist with special projects including the district job fair
  • All other duties as assigned by supervisor
Supervisory Responsibilities: None Equipment Used: Personal computer, scanner, printer, copier, fax machine, and calculator WORKING_CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress, work with frequent interruptions, repetitive hand motions, and prolonged use of computer.
