HR And Payroll Assistant

We are seeking a detail-oriented and dependable HR and Payroll Assistant to support our team in delivering accurate payroll processing and efficient HR operations. This role will play a key part in maintaining compliance, ensuring staff are paid correctly and on time, and supporting various human resource functions. The ideal candidate will have experience with payroll and understand the unique demands of a healthcare environment, including shift differentials, credential tracking, and workforce scheduling.

Key responsibilities include but are not limited to:

Payroll Support

  • Process and verify bi-weekly payroll using Paycom, ensuring accuracy in hours worked, differential pay, PTO, and deductions.
  • Maintain employee pay and job data within HRIS including pay rate changes, position updates, and benefit enrollments.
  • Troubleshoot payroll discrepancies and respond to employee payroll inquiries with professionalism and confidentiality.
  • Assist in year-end tax reporting, W-2 distribution, and payroll audits.

HR Support

  • Maintain accurate employee records including licenses, certifications, and immunization records in compliance with healthcare regulations.
  • Assist with the recruitment and onboarding process.
  • Ensure timely tracking of required healthcare credentials and notify staff and leadership of expirations.
  • Support offboarding tasks, including final paycheck processing.

General HR Administration

  • Manage employee changes such as status updates, promotions, and transfers in Paycom.
  • Prepare HR-related documents such as verification letters, employee notices, and reports for compliance and management.
  • Coordinate employee engagement initiatives and assist in planning trainings and meetings.

Hours/Shifts 80 hours biweekly, day shifts, Monday-Friday. Compensation The wage range for this position is $23.79-$28.42/hour. Please note that final compensation will be determined based on experience, market, qualifications and internal equity considerations.

Requirements are representative of minimum levels of knowledge, skills, and/or abilities.

  • Education/Special Skills: Associate's or Bachelor's degree in Accounting, Finance, Business, Human Resources, Healthcare Administration, or related field or 12 years of HR and/or payroll experience
  • Ability to maintain confidentiality and work with sensitive data
  • Must have excellent customer service skills and ability to communicate effectively both orally and in writing, along with ability to operate various software programs. Requires excellent organizational skills, time management skills, and presentation skills.
  • Successful completion of the pre-employment health screening process required.
  • Requires ability to perform at an independent level with minimal direction; exercise good judgment and initiative; problem solves and makes decisions on a variety of situations. Ability to function effectively in stressful situations.
  • Must be able to attend the work site per schedule.
  • Preferred Qualifications

    • HR or payroll certification (e.g., SHRM-CP, PHR, FPC, CPP) preferred
    • Familiarity with 24/7/365 operations, shift differentials, healthcare and/or regulatory compliance
    • Proficiency in Microsoft Office Suite (especially Excel)
