As an HR Operations Specialist, you will play a pivotal role in ensuring the smooth and efficient functioning of the human resources department within our organization. Your primary responsibility will be to handle various HR operational tasks and processes, contributing to the overall success of the HR team and the well-being of our employees, beginning with the applicant stage and continuing through to active employment. You will provide an energetic experience for candidates, hiring managers, vendors, and co-workers.
Job Duties & Responsibilities:
I-9 documentation processing for all team membersManage Ask HR inbox and phone lineManage documentation and storage of all separation agreementsLead Workers Compensation claims process working with internal and external resourcesRepresent the organization in all unemployment claimsComplete all work verifications and other requested documentsWork with team members requesting leaves of absence, coordinating with a third-party vendorEnsure Workday entries are in sync with work schedule/time clock entriesServe as HR contact with HRBPs, supervisors, and managersProvide benefits support across all benefit categoriesPerform transactions in Workday, including terminations, leave of absence, and job changesFinalize all terminations and separation information with team membersLead HR team interactions regarding all HR processesBuild and maintain strong relationships with recruiters and local branch managersManage pre-employment details and background check processes, including drug screens, physicals, MVR analysis, and JJ Keller enrollmentEvaluate candidate background reports, MVR, and drug screening results to determine decision outcomesCommunicate with candidates and hiring managers regarding pre-employment and employment status, rejection notices, and onboarding detailsComplete new employee hires in Workday, entering all relevant information and monitoring approvals/onboardingCoordinate in-system job changes with HRBPsUpdate new hire records in WorkdayManage new hire notifications and orientation sessionsSupport ordering of sales permits where necessaryHandle recruiting-related calls as neededPerform additional duties as assigned to meet changing business needsRequired Qualifications:
- Ability to manage multiple projects and requests simultaneously
- Intermediate/Advanced knowledge of Excel functions such as pivot tables, VLOOKUP, macros, etc.
- Strong interpersonal and communication skills
- Ability to manage confidential information responsibly
- Exceptional organizational and follow-through skills
- Ability to work with a sense of urgency
- Excellent verbal and written communication skills
- 2-4 years of payroll processing experience, with a preference for Workday payroll experience, or at least one year in a recruiting or general HR role
- Experience with workplace leaves of absence (FMLA, Worker's Compensation, Disability Benefits)
- Experience with employment benefits (medical, dental, life, disability, 401(k), etc.)
- Knowledge of state and federal employment laws
- Ability to evaluate pre-employment process results and determine eligibility independently
- Experience using an applicant tracking system and HRIS, preferably Workday
Compensation and Benefits:
The expected pay range for this role is $43,268 - $57,584, based on factors such as labor market, education, experience, and certifications.
