HR Coordinator Job Summary The role of the Human Resources Coordinator is to provide administrative support to the Director of Human Resources in planning, project coordination, and perform required functions in the Human Resources Department. The Human Resources Coordinator supports the Director of Human Resources in the daily operations of the Human Resources Department. This position plays a key role in coordinating administrative processes related to recruitment, onboarding, employee records management, benefits, and regulatory compliance. The HR Coordinator ensures a smooth and professional experience for all staff by maintaining accurate employee data, supporting internal communication, and contributing to HR initiatives that promote a positive and compliant work environment. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

  • Provide direct support to the Director of Human Resources in planning, project coordination, and perform required tasks in the Human Resources Department.
  • Provide general administrative support such as preparing correspondence, forms, and reports, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines, and taking down minutes as needed.
  • Prepare and maintain all employee personnel files.
  • Coordinates orientation, welcome, explanation of facility policies and procedures, conducts HR In-services.
  • Assist with the full-cycle recruitment process, including requesting posting job openings, contacting candidates, scheduling interviews, and extending job offers in coordination with department managers.
  • Pre-screen phone interviews on all potential candidates including conduct preliminary face to face interviews for all departments as needed
  • Coordinate and track pre-employment requirements, including background checks, physicals, reference checks, and necessary licensure or certification verifications.
  • Manage all aspects of new hire onboarding, including preparing and collecting employment paperwork, scheduling orientation, and ensuring a smooth transition into the facility.
  • Conduct new employee orientation sessions to ensure understanding of company policies, procedures, benefits, and workplace expectations.
  • Responsible for issuing ID badges and collecting after termination of employment.
  • Conducts pre-employment screening, including credential verification, OIG exclusion checks, nurse aide registry, references, and criminal background checks.
  • Entering, maintaining and keeping track of the D.O.H website and fingerprinting log/binder.
  • Responsible for renewing and tracking all licensed professionals and recertification of certified nursing assistants.
  • Enter all new hire data, change of statuses into HRIS system and ensure data integrity.
  • Runs monthly reports for physicals due, mandatory facility in-services due, renewal of license, certification, and CPR certifications due, who is eligible for health insurance the next month, etc.
  • Maintains employee locker assignment list
  • Ensures Directors are notified of evaluations due and 3 month raises that are due; completes PCN's for departments
  • Benefit enrollment for eligible employees and Annual Open Enrollment for medical and dental insurance
  • Answers employees inquiries on HR matters such as: benefits and company policies and processes employee requests
  • Attend local job fairs throughout the community to recruit top talent as needed
  • Cross-trains with the Director of HR to handle employee counseling, warnings, suspensions and terminations in the absence of the Director
  • Cross Trains with HR Director to help out with complaint investigations as necessary.
  • Cross-trains with the Director of HR to handle worker's compensation, Disability, FMLA in the absence of the Director
  • Ensures all HIPAA requirements are adhered to.
  • Follows all Agency policies and procedures.
  • Performs other related duties as required and assigned.
Requirements
  • Associates Degree in Business or other relevant field; or High School Diploma and at least 2 years of prior Human Resources work experience.
  • One to three years of human resources experience, preferably in healthcare setting - Long Term Care experience, a plus!
  • Experience with HRIS and Microsoft Office
  • Excellent verbal and written communication skills.
  • Ability to work well under pressure

  • Ability to provide excellent group presentation skills
  • Excellent time management skills.
  • Knowledge of all applicable federal, state and local employment laws.
  • Thorough understanding of all ERISA, EEO and AA regulations and requirements.
