Health Information AssistantPOSITION SUMMARY Under the direction of the Health Information Manager, the Health Information Assistant (HIA) is responsible for monitoring and completing medical records for every resident in a way that maintains the integrity of the health information system and ensures their accuracy, organization and accessibility. The HIA also performs nursing station administrative functions that improve the delivery of care to residents. RESPONSIBILITIES
  • Coordinates Resident Admissions: Initiates medical records, prepares labels and forms, completes admission checklists, and inputs data into the system to ensure a smooth, resident-centered admission process.
  • Maintains In-House Records: Keeps charts organized and updated by filing daily clinical information, thinning records per policy, and ensuring completeness for discharge.
  • Monitors Physician and Clinical Documentation: Tracks timely signatures on phone orders, physician visits, and clinical documentation; assists with chart preparation for rounds and transcribes orders as needed.
  • Handles Resident Appointments and Clinical Scheduling: Schedules labs, resident appointments, and transportation; transcribes vital signs and input/output data into the system.
  • Prepares Discharge and Transfer Documentation: Compiles records from nursing and overflow files, prepares necessary paperwork, and ensures files are organized in proper discharge order.
  • Supports Nursing Station Operations: Answers phones, maintains an organized and well-stocked station, completes filing, updates lists, and assists families and visitors appropriately.
QUALIFICATIONS
  • High School graduate or equivalent
  • Knowledge of medical terminology
  • Long-term care or healthcare experience
  • Previous experience as a health office secretary; training in medical records; experience with coding; knowledge of medications and medical terminology
  • Knowledge of regulations, documentation requirements and legal issues
