Applicants must live or relocate to the New York City metro area. The position is hybrid working in the NYC office. Why we need you: CSH is seeking a results-oriented individual committed to sharing their talent to support a mission-driven organization that leads efforts to expand housing and service solutions for highly impacted populations. The Grants and Contracts Administrator is responsible for managing all phases of CSH's grants and contracts process, including managing procurement/solicitation; preparation of formal agreements/documents; securing appropriate financial authorization and signature; performing record maintenance; and processing of disbursements for all grant and contract awards. What you will do: Sub grants and sub contracts
- Ensures that CSH and recipients of pass-through funds comply with government and other financial and administrative requirements.
- Maintain electronic files for subgrants and subcontracts awarded by CSH, including the underwriting of subgrants and subcontracts using appropriate forms. Works with CSH's General Counsel as needed.
- Oversees the subgrant and subcontract procurements and ensures compliance with internal and external requirements. Provides guidance to internal stakeholders on compliance matters and best practices.
- Reviews disbursement requests against subgrants and subcontracts to ensure that an executed agreement is on file, that such requests agree with allocated encumbrances, and that such requests comply with funder requirements; investigate and resolve discrepancies.
- Records the expenses related to subgrants and subcontracts into the general ledger in a timely manner.
- Performs subrecipient management and monitoring in compliance with the Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards, and other applicable regulations or restrictions, including site visits and desk audits.
Awards
- Review funding award terms and conditions with regional and national program staff to ensure that funds are expended in compliance with the applicable terms and conditions. Work with CSH's General Counsel on grant and contract language to ensure compliance with funding agreements and best practices as necessary.
- Maintain necessary schedules and relevant backup to ensure the accuracy of the grants payable information contained in the general ledger. Reconcile the grants payable schedule to the general ledger accounts and prepare journal entries to adjust balances on a monthly basis.
- Review commitments against funding award agreements and budgets as specified by award documentation.
- Provide data related to grants and contracts to the Manager of Federal Awards and Budget and Financial Reporting Analysts, and works with them on grant and contract reporting and billing and forecasting.
- Serve as liaison to program staff, providing pre-award, award and post-award coaching, guidance and support.
Additional Duties
- Prepares journal entries or other transactions that relate to subgrants and subcontracts in NetSuite for monthly and year-end reconciliations including, but not limited to, recording accruals and reversing or adjusting prior accruals upon recognition of actual expenses, creation and maintenance of purchase orders and vendor bills.
- Maintain impact and other metric data and ensure its quality.
- Monitor changes to federal regulation and industry best practices and advise on current or emergent compliance concerns.

- Bachelor's degree in Finance, Accounting, Business Administration, or a related field preferred. Equivalent experience may substitute for education.
- 3-5 years' experience administrating municipal, state and federal contracts, experience with contracts administration, subcontracting and contract review.
- Knowledge of nonprofit accounting principles and compliance with federal regulations is a plus.
- Familiarity with pre- and post-award processes, including proposal, budget, and compliance.
- Excellent communication, problem solving, analytical, and project management skills.
- Detail oriented with a focus on accountability and accuracy.
- Knowledge of Microsoft Office Suite (e.g., Excel, Word, Outlook). Familiarity with NetSuite is a big plus.
- Candidates seeking to work hybrid must provide their own access to a secure high-speed internet signal (preferably hard wired) at a capacity sufficient to support video, web, and email processing simultaneously based on their personal work environment. This is typically 100Mb and above.
- Minimal travel for purposes of sub recipient monitoring/site visits. This position requires occasional national travel.
Compensation: CSH offers generous benefits, opportunities for professional growth, and competitive salaries based on geographic location. Our range for this position in New York is $84,000 - $95,500. Our ranges are broad, and it is customary for candidates to join CSH at the lower half of the range to leave room for growth, learning, and development in the role and range. It is uncommon for starting salaries to fall above the mid-point.
