Job Title: Temporary Full-Time Executive Personal Assistant (hybrid) – coverage for maternity leave
Start: October 20th, 2025 through February 6thth, 2026
(Shadowing/training period: October 20th through November 7th, then solo coverage time runs November 7thth through February 2nd, then one week of overlap February 2nd to 6th, to bring the EPA returning from maternity leave back up to speed)
Reporting to: The Principals
Location: Primarily Remote but 1-2 days/ week at their residence in the Chelsea area of Manhattan, NYC
Hours: Monday – Friday, 9am-5pm; hours may vary slightly, but approx. 40-45 hours per week; with flexibility to be responsive after hours (not often, but as needed on occasion)
Salary: $40 - $50/hour, dependent on experience
Benefits: Paid Holidays (Thanksgiving Day, the day after Thanksgiving, Christmas Eve, Christmas Day, and New Years Day)
The Family: Husband, wife, 28 and 25-year-old sons (the younger of which lives in-residence), and their 2-year-old Bernedoodle dog
The Staff: Executive Personal Assistant (going on maternity leave), C-Suite executives, two accountants, and residence Property Manager

Household & Personal Support
- Stock the property weekly with groceries and supplies (paper goods, cleaning supplies, bathroom toiletries).
- Run personal errands, including dry cleaning, mail and package pickup, grocery shopping, and returns.
- Stock pet food, treats, supplements, and supplies.
- Schedule grooming, daycare, and veterinary appointments for the family dog as needed.
- Coordinate pet sitting and dog walking services as needed.
- Oversee holiday card lists, ordering, and mailing.
- Maintain all family-related documents, spreadsheets, and ongoing to-do lists.
- Coordinate with property manager on all maintenance and service appointments.
- Willing to help take care of their dog with walks, meals, possible vet visits and dog sitting.
Travel & Event Planning
- Plan and coordinate social and family events, including managing logistics and vendor communications with the principal. This includes social plans with friends, birthdays, dinners, and help with a 60th birthday party.
- Help coordinate all aspects of family travel, flights, accommodations, itineraries, reservations, and ground transportation with the principal (commercial and private). This will include their winter trip to Europe, Sundance in January, and any football game trips that may come up.
- Maintain and update family calendars with social engagements, appointments, and travel plans.
Business Support
- Manage calendars for their venture capital business and liaise with the executives in Detroit.
- Coordinate all business travel arrangements including booking flights, accommodations, car services, and drafting detailed itineraries.
- Handle all incoming document, application, or information requests (e.g. KYC documents).
- Liaise with the accounting team to review and approve family-related bills.
Requirements
- Minimum 5 years working in a similar role/field
- Prior experience as an executive assistant role supporting C-suite, and/or personal assistant for HNW private family required
- Comfortable with dogs
- Strong command of English language; good communication skills, both written and verbal
- Legally able to work within the United States
- Lives within a reasonable commute to Chelsea
- Reliability and punctuality
- Experience with Google Workspace
- Experience with event planning and coordination
- Experience with travel planning; commercial and private
- Excellent references required from both current and previous employers
- Happy to have a background check run (criminal)
