OverviewThe Front Desk Coordinator will support Front Desk staff. Responsibilities include: Scheduling staff, Greeting patients and visitors in a professional, polite, courteous manner and provide assistance as needed. Answers telephones, screens and direct calls appropriately. Relays accurate messages to staff and MD's, calls patients with normal results, scheduling of visits and testing.Job Details
  • Appropriately prioritize calls, knowing workflow for urgent matters such as critical lab results and symptom calls.
  • Answers telephones and distributes messages as appropriate using approved EPIC workflow. Direct calls to appropriate area when necessary.
  • Schedule appointments for new patients and established patients, understanding and accommodating patient needs. If staff cannot find appt, ask for assistance.
  • Ensure patient demographics, including insurance information, is correct in EPIC at time appointment is scheduled. Enter patient email address for My Chart activation.
  • Provide excellent customer service to all callers/customers including but not limited to: patients, providers, referring physicians and their staff, hospital staff including RN's and patient care assistants, etc. Dispatch calls as appropriate and/or take messages.
  • Pre-register patients in EPIC, including insurance. Goal is to pre-reg three days ahead. Run RTE and make any necessary insurance corrections. Call patients if information is needed prior to appointment.
  • Communicate with doctors, medical assistants and other areas regarding patients and schedules.
  • Check patients in for appointment in EPIC, scan insurance ID cards, driver's license and any necessary paperwork. Verify demographics, including insurance at check in, and update if necessary. Notify authorization area if insurance has changed to ensure proper auth is obtained prior to patient being seen.
  • Collect copayment at check in. Hand out Medicare Estimators.
  • Conduct quality assurance review for Nuclear and PET appts, ensuring patients were confirmed, received appropriate instructions and prior authorizations, orders are in EPIC.
  • Perform call backs on normal test results.
  • Return patient messages on voicemail from overflow of calls.
  • Conduct necessary follow up orders via remind me in EPIC.
  • Check patients out after visit. Distribute after visit summary, or mail if patient did not present to front desk on departure. Schedule any needed follow up appointments or enter them into recall in EPIC. Enter any needed calendar reminders for future follow up.
  • Effectively monitor in-basket messaging. Return calls to patients as instructed by providers.
  • End of DAR processing: ensure all pts were completed, no shows are called, if not reached, send a letter and entered into remind me for future follow up.
  • Return patient My Chart messages for scheduling.
  • Maintain spreadsheets for Sessioning to other offices to ensure testing ordered for South Bay: authorization obtained, testing performed, and results given to patient and PCP.
  • Reschedule appointments as needed for changes in provider schedules.
  • Appointment scheduling templating
  • Closing duties: see checklist (coffee pots, next day schedules, doors locked, alarms set, etc.)
  • Other duties as required
Adheres to all organizational policies and procedures Posted Salary RangeUSD $24.52 - USD $34.32 /Hr.This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate's qualifications, skills, competencies, and experience and position location.
