Overview
We seek a Bilingual Spanish/English New Client Specialist to support the firm's client acquisition and new client team by providing customer service support to potential clients and retaining leads for new and prospective clients. The New Client Specialist determines client eligibility and will refer to other Practice areas and departments. The candidate will secure relevant information and documentation and interact with prospective clients and internal teams in a timely manner. This position reports to the New Client Team Attorney and Lead.
Responsibilities
- Answer phone calls, respond to prospective calls, and take notes.
- Scan client intake files.
- Sort all team mail. Assist office liaison with team engagement projects, birthdays, anniversaries, and volunteer event planning.
- Ask a series of questions to compile data and determine the next course of action.
- Receive, evaluate, collect data, and coordinate referral activities in collaboration with the Referral Department.
- Review alert calls for leads and create leads in the case management system Smart Advocate.
- Process and upload documents in the case management system.
- Organize and scan documents.
- Research police reports in Legal Plex.
- Maintain legal files and other relevant information in digital databases.
- Dispute denial claims.
- Arrange transportation for clients and manage car service accounts.
- Interact with attorneys and paralegals to discuss client retainer and intake timeliness.
- Communicate constructively and enhance resolutions.
- Receive and send emails daily.
- Provide support to other administrative staff and perform other duties as assigned.
Qualifications
- Excellent verbal and written communication skills; effectively communicate, actively listen, and convey points clearly and proactively.
- Proficient in using standard office equipment.
- Proficient in Smart Advocate or similar case management system.
- Proficient in Microsoft Office Suite or related software.
- Strong organizational skills and attention to detail.
- Highly self-motivated with the ability to multi-task in a demanding environment.
- Positive and professional demeanor with internal and external clients.
- Flexibility and adaptability; may change direction and/or be available for overtime.
- Critical thinking and excellent people skills.
- Understanding of legal terminology and documentation.
- Thorough understanding of GGL's core values and goals.
- Experience in a professional environment; Medical/Health or Personal Injury Law firm experience preferred.
- Bilingual in English and Spanish is required.
Education & Experience
- High School Diploma, GED or equivalent.
- Data Management preferred.
- At least 2 years of experience in a Personal Injury legal firm or Medical Industry, Medical Assistant is expected.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds occasionally.
