Job Description :

We're seeking a highly organized and detail-oriented Flight Operations Assistant to support our busy flight operations team. In this essential role, you'll be the administrative backbone of our operations-verifying flight logs, maintaining crew records, coordinating onboarding, and ensuring our team runs efficiently and remains compliant with all aviation regulations.

You'll report directly to the Director of Operations and collaborate closely with pilots, HR, training staff, and various departments to support both day-to-day tasks and long-term initiatives.

Key Responsibilities:Flight Log & Documentation
  • Verify and archive daily flight logs for compliance and accuracy

  • Organize weight & balance documents, matching each to their respective trip

  • Communicate with pilots to resolve discrepancies

Pilot & Crew Management
  • Keep pilot medical records and duty logs updated monthly

  • Build and maintain crew profiles across platforms (Avianis, Wyvern, Argus, Teams, Binders)

  • Support contract pilot compliance and manage dual passport requests

  • Order uniforms and supplies (ties, wings, name tags, etc.)

Administrative & Operational Support
  • Maintain aircraft-specific items such as custom stickers and fuel card wallets

  • Assist HR with payroll, PTO, and expense approval tracking

  • Help edit and update operations manuals and documentation

  • Provide daily support to pilots and coordinate supply needs

Training & Compliance
  • Coordinate training with NATA and manage training records

  • Assist the Director of Training in verifying monthly Check Pilot compliance

  • Maintain audit schedules and send reminders for upcoming deadlines

New Hire Onboarding
  • Set up new hires in internal systems and order required security clearances

  • Coordinate fingerprinting and badge requests (KCM, FRG)

  • Collect and archive all licensing and training documents for flight and cabin crew

What we are looking for :
  • Highly detail-oriented and organized, with a knack for keeping things on track
  • Comfortable working with computers and navigating multiple systems

  • Proficient in Microsoft Office Suite (especially Word, Excel, and Outlook)

  • Able to format and manage documents with accuracy and consistency

  • A team player who can communicate clearly and follow through on tasks

  • No aviation experience required-we'll teach you what you need to know!
