Job Description :
Job Title: Operations ManagerDepartment: Financial AidReports To:Director Position Overview: Manage the Financial Aid reception area and secretarial support to the Director of Financial Aid Duties and Responsibilities:
  • Train, supervise and evaluate the reception staff and federal work study students
  • Oversee phone calls and correspondence (including departmental E-mail and voice mail)
  • Oversee the financial aid document imaging process
  • Handle incoming calls and respond independently on behalf of the Director
  • Prepare staff timesheet for salaried and hourly employees
  • Manage Director's calendar and independently schedule appointments
  • Manage all incoming and outgoing correspondence for the department
  • Advise students and parents on eligibility requirements for federal, state and institutional aid
  • Serve as a liaison to internal departments and external entities
  • Manage the flow of student traffic in the office
  • Compile data, prepare reports, and word-processing support
  • Manage file document imaging within the office and recordkeeping of all correspondence
  • Maintain office supplies and oversee the proper functioning of equipments
  • Assist in administering all federal, state and institutional financial aid programs
  • Assist the director on special projects
  • Data entry all departmental awards in our FAM systems & third-party web-based software
  • Update financial aid collateral, forms and applications
  • Update financial aid intranet and internet web pages as necessary
  • Update financial aid policy and procedure manual as necessary
  • Ability to resolve student complaints and or concerns
  • Coordinate travel arrangements for conferences, trainings and special events
  • Represent the department at special events (Open Houses, Orientation, Accepted Students Day, Workshops, etc.)
  • Work evening and weekend hours as necessary
Qualifications:
  • Bachelor's degree preferred or associate degree required
  • Some supervisory experience required
  • Familiarity with Datatel software preferred
  • Excellent organizational, interpersonal, oral and written communication skills
  • Solid computer skills and superior knowledge of Microsoft applications
  • Ability to multi tasks and work independently
