Position Summary

The Tribal Fund Program Manager leads the implementation and oversight of systems, partnerships, and outreach efforts that advance the mission of the Puyallup Tribal Fund. This role is responsible for coordinating grantmaking processes, managing donor and grantee relationships, overseeing compliance and reporting, and supporting strategic development initiatives. The Program Manager ensures the Fund operates efficiently, transparently, and in alignment with the Tribe's values of generosity, sovereignty, and community well-being.

Essential Duties and Responsibilities
  • Lead day-to-day operations of the Puyallup Tribal Fund, ensuring timely and accurate handling of grantmaking, donation, and program activities.
  • Develop and manage systems for tracking grants, donations, reporting deadlines, and fund distribution.
  • Serve as the primary point of contact for donors, grantees, community partners, and tribal departments.
  • Oversee and improve internal processes, including data tracking, reporting systems, and documentation protocols.
  • Monitor and ensure compliance with applicable policies, procedures, and 501(c)(3) regulatory requirements.
  • Coordinate and contribute to the development of the Fund's annual report, strategic plan, and board updates.
  • Supervise the preparation and delivery of grant reports, impact updates, and funding documentation.
  • Support planning and execution of donor engagement strategies, community events, and public communications.
  • Draft, edit, and approve public-facing materials such as newsletters, social media content, and press releases.
  • Collaborate with Tribal Council, community leaders, and the Fund Board to align giving strategies with tribal priorities.
  • Assist in identifying new funding opportunities, partnerships, or capacity-building strategies.
  • Perform other duties as assigned in support of the Fund's operations and mission.
  • Supervisory Responsibilities

    Provides guidance or direct supervision to administrative staff, interns, or contractors as assigned.

    Qualifications and Requirements

    Education and/or Experience

    Bachelor's degree in nonprofit management, business administration, communications, or a related field, with five years of progressively responsible experience in non-profit management, fundraising, development, or grant management; or an Associate's degree with at least 7 years of relevant experience. Experience managing budgets, timelines, and reporting systems. Prior supervisory experience is preferred. Demonstrated ability to work collaboratively within tribal, community-based, or culturally grounded environments.

    Language Skills

    Ability to write professional emails, take accurate meeting notes, and prepare clear internal documents. Respectful and courteous communication with donors, grantees, and community members.

    Mathematical Skills

    Ability to handle simple budgeting tasks, track expenses, and perform basic calculations using spreadsheets.

    Reasoning Ability

    Ability to follow directions, meet deadlines, and troubleshoot scheduling or task-related issues with minimal supervision.

    Licenses or Certification

    Must have and maintain a valid Washington State driver's license and be eligible to drive a GSA vehicle.

    • Proficiency with donor databases, grant tracking systems, and Microsoft Office Suite.
    • Ability to review reports, grant applications, and professional correspondence.
    • Understanding of tribal sovereignty, cultural values, and intergovernmental relationships.
    • High level of integrity, discretion, and cultural humility.
