Purpose of the Position

We are seeking a highly organized and detail-oriented Field Operations Administrative Coordinator to support our growing Field Operations team. This individual will play a key role in ensuring the smooth execution of daily activities by managing documentation, coordinating logistics, supporting communication, and generating reports. The ideal candidate is fluent in Microsoft Excel, Word, and Adobe Acrobat, and thrives in a fast-paced, field-driven environment. This role reports directly to the Director of Field Operations and serves as a vital liaison between the corporate office and remote field teams.

Key Responsibilities

  • Manage weekly operations and distributor calls, ensuring agendas and follow-ups are aligned.
  • Outline and review important changes, limited-time offers, and product updates with distributor partners.
  • Provide administrative support to Field Operations, including scheduling, document prep, and communication coordination.
  • Create, edit, and maintain reports, spreadsheets, and presentations in Microsoft Excel and Word.
  • Review, organize, and manage digital documents and fillable PDFs using Adobe Acrobat (including digital signatures, document merging, and form optimization).
  • Track project timelines, field submissions, and operational deliverables, ensuring accuracy and timely updates.
  • Maintain organized records, logs, and digital filing systems related to field activity and compliance.
  • Coordinate travel arrangements, equipment shipments, and other field logistics as needed.
  • Assist in expense report preparation and field documentation collection.
  • Support cross-functional communication between field teams, corporate departments, and external vendors.
  • Actively participate in process improvements and operational updates as the company evolves.

Required Skills & Qualifications

  • 2+ years of experience in an administrative or operational support role, ideally in a field service, construction, or multi-location retail environment.
  • Advanced proficiency in Microsoft Excel, Word, and Adobe Acrobat.
  • Strong written and verbal communication skills, with the ability to relay clear information across departments.
  • Excellent organizational skills and a sharp attention to detail.
  • Ability to manage multiple projects and shifting priorities in a deadline-driven environment.
  • Proactive, self-motivated, and comfortable working both independently and as part of a team.
  • Comfortable navigating and adopting new technologies and systems.
