Company: SimplyHomeJob Title: Field Dispatch CoordinatorDepartment: Property ManagementReports to: Director, Community Asset ManagementStatus: Full Time / Non-Exempt / HourlyJob Summary:Camillo Companies is actively seeking a Field Dispatch Coordinator. They must be able to organize and coordinate office administration and procedures to ensure organizational effectiveness and efficiency. This role will report directly to the Director of Community Asset Management. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting office and field personnel alike.Duties/Responsibilities:Update HVAC and plumbing service work orders in the Dispatch Management System (DMS), ensuring accurate and timely documentation.Assign Preventive Maintenance Agreements (PMAs) to appropriate personnel to facilitate proactive maintenance scheduling.Schedule pre-move-out inspections upon resident requests, coordinating with field technicians to ensure timely completion.Identify and correct discrepancies in work orders within DMS to maintain data integrity and operational efficiency.Oversee HVAC and Plumbing's scheduling and coordination, acting as the primary liaison between residents and staff to ensure effective communication and service delivery.Prioritize emergency service requests, strategically assign work orders based on geographic locations to optimize technician routes and minimize travel time.Perform additional tasks assigned to support departmental operations and organizational objectives.Required Skills/Abilities: Friendly and welcoming demeanor with the ability to maintain professionalism and a strong customer-focused demeanor with demanding clientele.Excellent time management skills, detail-orientation and ability to multi-task and prioritize work.Strong decision-making and problem-solving skills, along with advanced conflict resolution skills.Effective communication and interpersonal skills and proficient in English. Must be able to articulate needs and convey information verbally and in writing effectively with employees, customers, supervisors, and co-workers throughout the organization.Knowledge of management methods and sound employee relations techniques with an ability to connect to staff, troubleshoot problems and help teams collaborate, as necessary.Able to work in an equitable, inclusive, and diverse environment.
