A Day in the Life of the FF&E Project Manager

In this role, you'll be the go-to person for managing all things FF&E—from sourcing and procurement to delivery and installation—for some of the most exclusive and design-forward interiors. You'll work closely with clients, designers, and vendors to ensure every piece fits perfectly into the design vision, is delivered on time, and meets the highest standards of quality.

Responsibilities include:

  • Act as the primary point of contact for FF&E procurement and execution on assigned luxury interior projects
  • Manage end-to-end FF&E lifecycle: from spec reviews and budgeting to order placement, tracking, and installation
  • Protect and execute the design vision while managing cost, lead times, and production feasibility
  • Issue and monitor purchase orders, change orders, and vendor acknowledgments
  • Collaborate with designers to review and approve samples, shop drawings, and strike-offs
  • Coordinate international shipping, customs, and warehousing of unique, custom furnishings
  • Maintain meticulous procurement documentation and provide regular status updates
  • Proactively resolve vendor and quality issues with diplomacy and efficiency
  • Work cross-functionally with accounting, design, and logistics teams to ensure smooth project delivery

Requirements and Qualifications:

  • 3–5+ years of FF&E project management experience, preferably in luxury residential, hospitality, or retail settings
  • Strong knowledge of high-end materials, vendors, and custom fabrication processes
  • Proven ability to juggle multiple complex, high-value projects at once
  • Familiarity with international logistics, freight forwarding, and global sourcing
  • Highly professional, with excellent communication and client service skills
  • Bachelor's degree in Interior Design, Architecture, Project Management, or a related field preferred
  • Proficiency in Design Manager, Studio Designer, or similar FF&E management software
  • Comfortable with Microsoft Office Suite, Adobe Acrobat/Bluebeam; experience with ERP or PO tracking tools is a plus
