Supervises and coordinates the day-to-day operations of the office and its associated equipment.
Tasks & Responsibilities:
- Receive visitors and colleagues' vendors, maintenance personnel, etc., for the office.
- Oversees office maintenance, property janitorial and maintenance staff, including coordination with landlords.
- Manage the day-to-day operations of office activities (e.g., ordering supplies, scheduling maintenance of office equipment, tracking visitors).
- Maintain calendars, schedule meetings and appointments; prioritize and resolve complex meeting schedules; prepare agendas and presentation materials; take and transcribe meeting minutes; prepare summaries as required.
- Oversee kitchen maintenance: order, receive, check, and restock inventory; maintain coffee machines; load and unload dishwasher; water plants.
- Manage car and fleet maintenance: handle registration, fuel, car washes, check washer fluid, schedule oil changes, check tire pressure, and manage check-in/out schedules.
- Resolve problems and customer service inquiries within scope of authority; provide advice and assistance to external agencies.
- Manage vendors and review/process purchase orders ensuring accuracy and timely approval.
- Set up and clean meeting rooms to ensure they are presentable.
- Handle mail, packages, and courier shipping and receiving.
- Manage building security: badges, keys, security paperwork.
- Conduct COVID temperature testing, etc.
- Serve as the local safety representative for the Region Americas Office.
- Act as the local IT technician for the Region Americas, handling telecommunication, video equipment, and hardware.
- Perform other projects as needed.
- Prepare eProcure requisitions for departments in the Americas Regional Office and the US, including HR, Ocean, Air, Sales, Marketing, Aerospace & Contract Logistics.
- Resolve eProcure invoice reconciliations related to purchase orders for the above departments.
- Ensure smooth flow of purchase orders through the eProcure system to payment.
Role-specific skills and requirements:
- Good interpersonal skills required.
- High school diploma or equivalent required.
- Preferably 2-4 years of related work experience.
- Ability to use all basic equipment related to housekeeping functions.
- Capable of performing all essential functions with or without reasonable accommodation.
- Must pass all required background checks, clearances, and drug tests.
