Position Overview:

We are seeking a highly organized and proactive Facilities Manager to oversee the day-to-day management of our offices and real estate portfolio nationwide. This role is responsible for daily operations, as well as project management and coordinating all office openings. The ideal candidate will bring a strong balance of operational expertise and strategic oversight to ensure our workspaces effectively support both current and future organizational needs.

Duties & Responsibilities:

  • Oversee daily office operations across all locations, ensuring facilities run smoothly and consistently.
  • Manage maintenance, repairs, utilities, cleaning, IT infrastructure (e.g., phone, cable, UPS), and general office support services.
  • Develop and implement scalable systems and processes that align operations across all locations.
  • Lead vendor selection, onboarding, and ongoing vendor management to maintain quality and cost efficiency.
  • Drive continuous process improvement and develop service delivery standards across all facilities.
  • Plan and execute office openings, closures, relocations, and build-outs in collaboration with internal teams and external partners.
  • Manage construction and renovation projects, including coordination with architects, engineers, and contractors.
  • Ensure all offices meet safety, compliance, and regulatory standards.
  • Monitor and manage facility-related budgets including utilities, capital expenditures, and service contracts.
  • Review and approve facilities-related invoices and expenditures.
  • Conduct regular site visits and inspections to assess conditions and identify areas for improvement.
  • Maintain accurate records of leases, vendor contracts, compliance documents, and property-related files.
  • Act as the primary liaison with landlords, property managers, brokers, and external agencies.
  • Track and report on space utilization and occupancy data to support long-term planning and real estate strategy.

Skills, Experience and Qualifications:

  • 3+ years of experience in facilities management, multi-site operations, or real estate operations.
  • Proven experience overseeing multiple locations or a distributed real estate portfolio.
  • Strong knowledge of facilities systems and operations, including mechanical, electrical, and IT infrastructure.
  • Experience managing construction or renovation projects and working with external contractors.
  • Demonstrated success in vendor management and process improvement.
  • Excellent organizational and project management skills; able to manage multiple initiatives at once.
  • Strong interpersonal and communication skills with a collaborative, solutions-oriented approach.
  • Proficient in facilities management software and general business tools (e.g., Google Workspace, MS Office).
  • Willingness to travel as needed
  • Experience in a high-growth or fast-paced environment with frequent office expansions or changes.
  • Knowledge of relevant codes, regulations, and safety standards.
  • Bachelor's degree in Facilities Management, Operations, Business, or related field.
