Contract 3-6 months, with potential to extend. Onsite Monday - Friday.

Location: Midtown

The Facilities Coordinator will assist with and administer daily operations activities of the New York office.

Essential Functions
  • Maintain production equipment, including stocking paper trays, unit calibrations, and coordinating with service technicians.
  • Perform printing, binding, and creation of custom covers as requested. Review work orders to ensure proper deliverables.
  • Review produced materials to ensure compliance with company branding standards, including proper disclaimers and packaging to meet client expectations.
  • Receive, distribute, and collect mail and packages; ensure shipping and receiving deadlines are met.
  • Maintain overall office appearance and readiness, including all areas such as open office, private office, conference rooms, pantry, print area, lobby, and elevator areas.
  • Perform daily maintenance, cleaning, and restocking of all common areas, maintaining adequate inventory of supplies and reordering as necessary.
  • Assist with minor assembly and installations, including changing lightbulbs, hanging pictures, artwork, bulletin boards, and fixture assembly.
  • Support and partner in the preparation, execution, and cleanup of office events.
  • Maintain good business relations with vendors.
  • Clean the mailroom, organize storage space, and take inventory of supplies to replenish as needed.
  • Display good working knowledge of facilities maintenance environment.
  • Gain exposure to AV infrastructure, troubleshoot issues, and perform routine tasks related to conference room AV and video conferencing tools.
  • Assist with updating or removing access control credentials on the S2 Security System.
  • Support users with installing Blue Diamond Mobility access.
  • Administer user accounts in ACO.
  • Education and Qualifications
    • At least 1 year of experience in printing and shipping.
    Experience, Skills, and Competencies Required
    • Strong communication and interpersonal skills.
    • Excellent time management, organizational skills, work ethic, initiative, sense of urgency, and attention to detail.
    • Self-motivated with the ability to manage multiple tasks and meet deadlines effectively.
    • Workstation setup including peripherals.
    • Advanced knowledge of facilities machines and equipment.
    • Basic operations of AV infrastructure and office equipment.
    • Proficiency in MS Office and related tools.
