Job Code 17131 Recruitment Pool All Applicants Posting Number req8144 Unit Student Affairs (Vice Provost) MBU Department DSA/University Housing Department Website Link Location VCU Address 907 Floyd Ave, Richmond, VA 23284 USA Duties & ResponsibilitiesSummary: The Facilities Coordinator collaborates with the Facilities and Operations team to create a residential environment that aligns with the Department of Residential Life & Housing's Mission to provide safe, and well-maintained facilities that foster intentional communities, empowering residents to achieve academic excellence, citizenship, and personal growth. The Facilities Coordinator is a full-time professional who will serve as the primary liaison for maintenance and housekeeping, and students and hall staff in their assigned buildings. The position will report to the Assistant Director of Facilities. Principal responsibilities include assisting in the proper maintenance of all residential facilities, ensuring that all residents live in a safe and clean environment conducive to learning and living. Serve as a liaison between students, faculty, administrators, and other staff members regarding facility issues in the residence halls. Communicate and collaborate daily with Residential Life and Housing staff, Facilities Management staff and contractors, students, and parents to clarify and exchange information and ideas related to all aspects of housing. Typical Duties Operations and Project Management (45%)
  • Communicates any daily needs related to maintenance and housekeeping to appropriate persons to provide a safe, clean, well-maintained, and comfortable environment for students.
  • Is considered a designated (essential) employee and responds to after-hours building emergencies, as appropriate.
  • Interprets, communicates, and ensures adherence to University and residence hall policies and procedures, including local regulatory statutes (i.e., fire safety, public health guidelines, etc.).
  • Acts as a resource and answers questions as appropriate.
  • Oversees customer service-related activities related to occupancy/facility follow-up.
  • Schedules appropriate vendors and makes appropriate arrangements for special items, including but not limited to parking, trash/recycling, welcome banners, tents, and carts.
  • Coordinates furniture orders and moves for offices, student rooms, and common area spaces as appropriate and as needed.
  • Responsible for coordinating sorting, organizing, and surplusing of unneeded furniture and equipment from storage areas in all halls on a semiannual basis.
  • Works with Assist. Dir. of Facilities to research and propose ways to update common spaces that are under-utilized or unused. Manages and coordinates approved projects through to fruition.
  • Inventories and orders are necessary for building signage on an as-needed basis.
Administration (30%)
  • Assists the Assistant Director of Facilities daily.
  • Attends all training sessions, staff meetings, and committee meetings as assigned.
  • Handles difficult situations and enforces policies with diplomacy.
  • Reports all violations of housing regulations to the proper personnel.
  • Maintains confidentiality of information on students and their records within appropriate boundaries.
  • Performs all functions necessary and as instructed in one one-on-one meetings with supervisor, university fire safety, university police, etc.
  • Hires, trains, manages, and supervises Operations Student Assistants.
  • Expectations are clear, well-communicated, and relate to the goals and objectives of the department.
  • Manages departmental contracts as assigned (laundry, etc.).
Departmental Initiatives (25%)
  • Assist in implementing a variety of assessment activities and retention initiatives to improve the residential experience and student success. Create and provide residential conduct assessment reports that can be used internally and externally.
  • Serve on a variety of department and division-wide work teams, committees, and initiatives as needed to support the mission of Residential Life and Housing and the university.
  • Work to build relationships with the Central Housing Office, Division of Student Affairs, and other University constituents to best support students and staff.
  • Represent VCU at professional conferences, on campus, and in the community.
  • Assist with the development/oversight of new and recurring residence life initiatives, training, or programs throughout the year.
  • Work with Opening, Closings, Orientation, Open Houses, Preview Day, Conferences, Admissions, or other assigned areas to successfully integrate residential life initiatives and information sessions throughout the academic year and summer.
  • Other duties as assigned.

  • Effective communication skills (oral and written).
  • Ability to work collaboratively.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work well under pressure with multiple and changing deadlines; Demonstrated proficiency utilizing technology such as online systems, database software, and standard office packages (word processing, spreadsheet, electronic mail).
  • Ability to work independently and as part of a team, manage several responsibilities at the same time, and resolve problems using initiative and sound judgment.
  • Ability to collect, interpret, and report data and to write informational materials and reports.
  • Strong interpersonal skills; Demonstrated experience working with faculty, staff, and student environment, and commitment to do so as a staff member at VCU.
Typical Education and Experience Bachelor's degree in business management, hotel/restaurant management, or related field or equivalent training or experience within a residence hall environment.
