Schedule:

Monday – Friday, with flexibility to work weekends for special events as needed.

Position Overview

An established, private family in New York City is seeking a highly professional, poised, and detail-oriented Executive Personal Assistant (EPA) to provide seamless support to her elderly mother who is highly involved in the arts. This role requires exceptional organizational skills, discretion, and adaptability in managing a range of personal and household tasks. The ideal candidate will be proactive, resourceful, and committed to ensuring smooth daily operations, handling responsibilities with precision and complete confidentiality.

Responsibilities

  • Oversee daily operations of the mother's private residence
  • Liaise with household staff, vendors, and service providers to ensure smooth workflow and operations.
  • Maintain household and office inventories, handling procurement of necessary supplies.
  • Manage an ever-changing schedule, coordinating appointments, meetings, and engagements.
  • Arrange complex domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
  • Prepare travel documents, including visas, passports, and logistics coordination.
  • Plan and execute private gatherings, dinner parties, and special occasions.
  • Manage event logistics, including coordinating with chefs, florists, caterers, and vendors.
  • Oversee personalized gifting and high-end procurement needs.

Requirements

  • Experience: 3-5 years in a similar role within a private family office or corporate setting.
  • Bachelor's degree preferred.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Highly professional, polished, and poised.
  • Exceptional discretion and confidentiality.
  • Ability to work independently and anticipate needs.
  • Strong attention to detail and ability to work under pressure.
  • Valid U.S. work authorization required.
