POSITION PURPOSE

The Executive Operations Manager partners with the Managing Director to lead both the day-to-day operations and the high-level priorities of the Office of the Managing Director. The role requires expertise in executive coordination, project management, process optimization, and operational efficiency. This position offers opportunities for impact and professional growth through close work with senior leadership and engagement in organizational projects.

PRIMARY RESPONSIBILITIES
  • Optimize the Managing Director's calendar for efficiency, prioritization, and time zone management.
  • Drive the MD's priorities by managing schedules, coordinating stakeholders, and overseeing initiatives.
  • Maintain discretion and confidentiality in all responsibilities.
  • Coordinate meetings with senior leaders and key stakeholders, ensuring preparedness.
  • Draft, format, and proofread correspondence, reports, and presentations.
  • Manage the Office of the Managing Director's budget and expenses.
  • Enhance executive technology use by troubleshooting and sharing shortcuts.
  • Lead continuous improvement efforts in administrative and operational functions.
  • Coordinate Leadership Team calls and quarterly in-person meetings.
SKILLS
  • Proven ability to work independently, manage multiple tasks, and be resourceful.
  • Strong attention to detail while driving organizational goals.
  • Ability to simplify complex situations.
  • Interest in optimizing office productivity software (e.g., Teams, SharePoint, MS Office).

EXPERIENCE/BACKGROUND
  • 5+ years supporting executive roles, project management, or related fields.
  • Experience with process improvement and supporting project delivery.
  • Experience in executive and board-facing environments.
  • Skilled in business writing and presentation development.
  • Ability to work effectively in global, cross-functional, and hybrid settings.
EDUCATION/TRAINING/CERTIFICATION
  • Bachelor's Degree or equivalent work experience.
PHYSICAL REQUIREMENTS
  • Flexibility to work extended hours across time zones.
  • Ability to work long hours at a computer.
  • Willingness to travel domestically and internationally (10-25% annually).
