Job Description :

With over 1200 members, The Clarksville Association of REALTORS (TN) has an opportunity for an Executive Officer. The Executive Officer is the chief paid officer of the Association and is responsible to the Board of Directors. They recommend and participate in the formulation of the Association's mission, goals, objectives, and policies. The Clarksville Association is located in Middle Tennessee, home to a university, a military base, and near Nashville.

This description of responsibilities is intended as a guide for the duties of the Executive Officer and should not be construed as a legal or binding employment contract.

Specific Responsibilities
  • Establish administrative policies and procedures for headquarters functions.
  • Develop the organizational structure for the Association office and staffing, including recruiting, hiring, training, and recommending promotions or terminations to the Board of Directors. Administer personnel programs with clear descriptions, performance standards, and compensation systems.
  • Develop and supervise membership development and member services programs within staff capabilities.
  • Maintain a responsive communication program for members.
  • Conduct research relevant to the Association and inform members and officers as appropriate.
  • Maintain effective public relations both internally and externally.
  • Serve as the spokesperson for the Association alongside the chief elected officer.
  • Assist in preparing the annual budget and long-range forecasts with the Finance Committee.
  • Plan and coordinate meetings for the Board of Directors, officers, and general membership.
  • Support and monitor committees and elected officers.
  • Collaborate with the President, officers, and directors.
  • Maintain strong relationships with local and state associations.
  • Engage actively in civic and community organizations.
  • Participate in activities and programs offered by the state and national associations within the budget limits.
  • Adhere to travel policies adopted by the Association.
  • Become a member of the National Association of REALTORS, waiving dues and the Realtor title.
  • Work closely with legal counsel on legal matters.
  • Attend all Board and general membership meetings.
  • Serve as a non-voting member of the Board of Directors.
  • Execute contracts and commitments authorized by the Board or policies.
  • Complete surveys from the National and Tennessee REALTORS as needed.
  • Manage finances: receive monies, make deposits, approve bills, and prepare monthly financial reports for the Treasurer.
  • Serve as registered agent and Secretary of the Association.
  • Provide information for yearly tax returns and audits.
  • Maintain all Association records.
  • Prepare agendas for meetings in cooperation with the President.
  • Handle grievance complaints, arbitration, and ethics hearings according to the REALTOR Code of Ethics.
  • Approve commitments for ticketed functions and manage related budgets.
  • Ensure bylaws and policies are sent for approval and updated accordingly.
  • Handle President's correspondence related to Association matters.
  • Assist in planning programs for membership meetings.
  • Review applications for affiliate memberships and recommend actions.
  • Make recommendations on major expenditures, with a limit of $500 for inventory replacements.
  • Maintain the safety and security of Association credit/debit cards, ensuring they are used solely for business purposes.
