Executive Assistant to the President

POSITION SUMMARY The Executive Assistant to the President provides high-level administrative and strategic support to ensure smooth day-to-day operations for the Office of the President. This position acts as a trusted advisor, project coordinator, and key liaison, helping to align operations with university-wide priorities.

PRINCIPAL DUTIES

  • Serve as the primary point of contact for inquiries directed to the President's Office via email, phone, and in person; handle routine inquiries and route specialized matters appropriately.
  • Manage the President's calendar, schedule appointments, and communicate messages between the President and campus stakeholders.
  • Provide oversight of office resources and assets, including confidential records and key documents.
  • Ensure efficient daily operations of the President's Office, maintaining adherence to established procedures and protocols.
  • Manage special projects and initiatives on behalf of the President, coordinating timelines, stakeholders, and deliverables.
  • Other duties as assigned
  • Board of Trustees Liaison:
    • Serve as the main point of contact between the Board of Trustees and university leadership.
    • Coordinate logistics for Board meetings, including preparation and timely distribution of agendas, materials, and reports.

EXPERIENCE

  • 3-5 years of experience in a similar executive support role where confidentiality, punctuality and a detailed approach to tasks was expected.
  • Advanced verbal and written communication skills and professional telephone and email etiquette.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat; strong web navigation skills.
  • Excellent organizational, calendaring, and time management skills.
  • Strong attention to detail and the ability to manage multiple projects in a fast-paced environment.
  • Exposure to, or experience in and event planning environment.
  • Self- starter, flexible and able to work independently.
  • Superior customer service skills in addition to professional personal presentation required.

  • Conduct research and prepare clear, professional reports and supporting documents.

  • Demonstrate strong interpersonal and communication skills, with the ability to work collaboratively across departments and with leadership.
  • Work both independently and as part of a team, showing initiative, accountability, and adaptability.
