Position Summary Reporting to the Dean of the Gabelli School of Business, the Executive Assistant to the Dean serves as a strategic partner in advancing the Gabelli School of Business's mission. This individual provides high-level executive support to the Dean while driving the School's strategic initiatives and operational momentum. The role demands exceptional leadership, organizational expertise, and advanced communication skills. As a trusted advisor, the Exectuive Assistant ensures seamless coordination with high-profile offices, including the President's and Provost's Offices, and external stakeholders. This involves managing critical relationships with the Gabelli Advisory Council, donors, and external partners, while maintaining acute awareness of key individuals, sensitive situations, and institutional priorities. This role goes beyond traditional administrative functions, requiring proactive decision-making, adept navigation of complex institutional dynamics, and a focus on delivering outcomes aligned with the Gabelli School's vision for innovation, community, and global impact. This is a dual-campus position requiring daily, on-site presence at either Fordham University's Rose Hill campus in Bronx, NY, or the Lincoln Center campus in Manhattan, NY. Campus assignments will vary based on the Dean's calendar but will always be limited to one campus per day. Regular work hours are 8:00 AM to 5:00 PM, Monday through Friday but there will be times when evening or weekend engagements and communication will be necessary. A remote workday is offered once a week but the specific day will vary based on operational needs. Flexibility is required to support the Dean's priorities. All candidates must commit to being fully engaged on-site during office hours at both campuses. This requirement is non-negotiable and essential to supporting the Dean's extensive responsibilities. Essential Functions Assists in executing on Gabelli School's strategic priorities. Performs complex duties, both administrative and strategic in nature, to support the Dean. Oversees the Dean's complex schedule, coordinating high-level meetings and appointments while balancing competing priorities. Ensures the Dean is prepared with timely delivery of essential documents and background materials. Prepares detailed agendas, documents critical takeaways, and tracks follow-up actions to secure actionable outcomes. Plans and arranges comprehensive domestic and international travel itineraries, ensuring all necessary documentation and agendas are in place. Drafts professional correspondence, presentations, and reports that align with the Dean's strategic vision and policies. Serves as a liaison to senior leadership, faculty, administrators, students, and external stakeholders, fostering productive relationships to support executive priorities. Manages critical relationships with high-profile offices, including the President's and Provost's Offices, as well as the Gabelli Advisory Council and donors. Navigates sensitive situations and provides insights to ensure effective communication and strategic alignment. Plans and executes high-profile events, including Gabelli Council and Advisory Council meetings, Senior Leadership gatherings, and donor engagements, ensuring alignment with the School's mission and strategic goals. Collaborates with internal and external stakeholders to deliver impactful events that strengthen partnerships and promote the School's initiatives. Streamlines systems to ensure adherence to deadlines, prioritizes incoming communications, and proactively resolves scheduling conflicts. Leverages new tools and technology, including AI-based platforms, to optimize workflows and enhance productivity. Executes special assignments from the Dean, often involving collaboration with multiple stakeholders and requiring innovative solutions. Additional FunctionsRequired Qualifications: Education and Experience Bachelor's degree Minimum of 5 years of executive-level support experience supporting C-suite leaders in business or higher education Required Qualifications: Knowledge and Skills Advanced proficiency in Microsoft Office Suite, Google Workspace, and familiarity with AI-based tools or willingness to learn. Exceptional organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment. Strong communication skills, including the ability to draft executive-level materials with precision and professionalism. High emotional intelligence and a positive, can-do attitude, with a demonstrated ability to work both independently and collaboratively. Discretion and the ability to handle sensitive and confidential information with the utmost integrity. Strong service orientation, excellent attention to detail, ability to multitask, and prompt responsiveness to issues.
