University of IdahoExecutive Assistant to the Dean and Senior Associate DeanLocation: MoscowDivision/College: Col of Agricultural & Life SciencesEmployee Category: ClassifiedPay Range: $25.03 per hour or higher depending on education and experienceFull/Part Time: Full TimePosition SummaryThe Executive Assistant to the Dean and Senior Associate Dean leads a shared administrative services team including the Assistants to the Associate Deans and is an experienced administrative assistant/project manager supporting the administration, employees and students of the college. The position will support both the Dean and the Senior Associate Dean, but reports to the Dean. Responsibility areas include but are not limited to leading office staff in understanding roles and responsibilities, meeting multiple deadlines, providing support for major initiatives led by the dean or delegated to the dean, providing high level administrative support to committees, and acting as a liaison between the dean, Senior Associate Dean and constituents. This position provides administrative support to the dean and Senior Associate Dean by participating in office and unit decisions, ensuring the goals of the unit are met, identifying problems and recommending solutions, and analyzing information and data to make recommendations to support the goals of the dean's office and college. The successful incumbent must function independently and be self-directed in managing the needs of the dean and Senior Associate Dean, and leading office staff, exercise good judgement, be organized and able to manage multiple tasks at one time, analyze and respond to complex situations and tasks, and communicate with grace under pressure. Work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion.Minimum Qualifications
- High School Degree or GED
- At least five years of full-time administrative experience with progressive responsibility, must have at least three years of full-time administrative support in support of management including:
- Applying office management practices, successfully balancing competing priorities so as not to disrupt the normal business functions for the organization.
- Developing and delivering presentations and training
- Collecting, compiling analyzing information and making recommendations or decisions about changes.
- Using computer software and applications for word processing, email, internet searches, and data organization
- Working in an environment that requires maintaining strict confidentiality
Preferred Qualifications
- A degree relevant to the qualifications and responsibilities described in the position description and at least five years of experience/familiarity with higher education programs or executive/senior level support.
- Strong knowledge/experience using calendaring software to schedule meetings.
- Familiarity with personnel processes (faculty and/or staff) and academic affairs processes.
- Familiarity with interpreting, applying, and explaining complex information such as regulations, policies, processes, and guidelines.
- Ability to act independently and exercise initiative to plan and complete assigned projects; recognize errors and solve problems to make improvements short and long term.
- Experience handling confidential information and discretion with highly sensitive information and situations.
- Ability to work with a diverse group of people and topics, and ability to display grace under pressure.
- Working knowledge of the Banner modules and PeopleAdmin.
