Scientists at Arcadia share as much of their research as possible to gather community feedback and accelerate scientific progress.The Opportunity:We have an Executive Assistant (EA) opening that will support the Chief Executive Officer (CEO), Seemay Chou. The EA will act as a liaison, orchestrating outreach and managing internal and external engagements. In addition to helping with general operations and office management, the EA will play a key role in special projects by assisting the CEO with communications and logistics. We are looking for someone with significant growth potential who will take advantage of this opportunity to develop a more in-depth tactical partnership with the CEO to amplify Arcadia's efforts and our broader impacts in science.The ideal candidate should be a driven, high-integrity individual who can handle information with discretion and maturity. The ideal candidate is also a smart generalist who can keep up with a large and varied volume of requests. They have strong self-awareness and EQ, and a clear sense of boundaries. They are known for moving quickly, erring on the side of impatience. They are known for being obsessed with efficiency, organization, and details. They should communicate precisely and succinctly. Strong prioritization skills are a must.Within the first 2 months, you will be expected to:

• Manage and prioritize a dynamic schedule at Arcadia and externally
• Serve as a key coordinator, facilitating meetings and communication with others
• Handle a variety of administrative and office responsibilities
• Help keep the executive well-prepared and informed about upcoming commitments
• Organize and oversee the executive's engagement activities and travel arrangements
• Assist with logistics for new strategic initiatives
• Draft clear, professional emails with meticulous attention to detail
• Ensure efficient operational processes for the CEO and office

Within the first year, you will have the chance to advance through:

• Preparation of high-level board meeting documents and memos
• Improvement of operational processes via automation or data-driven technologies
• Research or informative interviews for new CEO-led strategic initiatives
• Project management of higher-touch operations, e.g. recruitment, seminars, outreach
• Initial screening for external inquiries or partnership opportunities
• Anticipate and/or design pilots for new initiatives across the company

Requirements:

• 3+ years of administrative or operational experience in a fast-paced environment
• At least 1+ years setting up new executive or team processes for the first time
• Comfortable with Google suite, Slack, and project management platforms
• Fluent in organizing and maintaining spreadsheets
• Basic familiarity with HR and financial best practices
• Strong writer
• Solid background and reference checks

Compensation:The expected salary range is $110,000-$140,000 per year with generous equity and benefits, depending on experience level.
