Executive Assistant to the CEO & Lead Advisor/Office Manager

Industry: Wealth Management/Registered Investment Advisor (RIA)

Our client is a fast-paced, well-established wealth management firm that has been serving high-net-worth individuals including business owners and medical professionals for over 30 years.

The firm is seeking a highly organized, proactive Executive Assistant/Office Manager to serve as the right hand to the CEO and Lead Financial Advisor. This is a mission-critical role focused on ensuring operational excellence, driving team accountability, and enabling the CEO to concentrate on high-impact, revenue-generating activities.

The Executive Assistant/Office Manager will take on a broad range of responsibilities, including executive support, firm operations oversight, strategic project coordination, and day-to-day execution.

Key Responsibilities of the Executive Assistant/Office Manager:

Executive Support to the CEO & Lead Advisor

  • Manage the CEO's calendar, meetings, and correspondence.
  • Act as a gatekeeper to protect the CEO's time and prioritize initiatives.
  • Prepare and organize meeting materials, reports, and follow-up action items.
  • Handle confidential information with discretion and professionalism.

Operations & Practice Management

  • Maintain a deep understanding of firm workflows, client relationships, and goals.
  • Oversee daily operations, ensuring efficiency and accuracy across all functions, assist with creating SOPs for reference and consistency
  • Collaborate with internal teams to resolve issues and support compliance.
  • Track key initiatives and ensure the CEO remains informed and aligned.

Project & Team Coordination

  • Lead execution of strategic projects from planning through completion.
  • Coordinate internal meetings and drive accountability on deliverables.
  • Support onboarding and training of new team members.

Client & Relationship Support

  • Serve as liaison between the CEO and high-value clients or external partners.
  • Ensure timely, professional communication that reflects the firm's standards.

Marketing & Client Engagement (Secondary Focus)

  • Assist with client communications, events, and outreach initiatives.
  • Support brand visibility and business development efforts.

Qualifications of the Executive Assistant/Office Manager:

· 5+ years of proven experience (EA, Office Manager, Operations, or similar role) supporting top-producing financial advisor(s)/Wealth management Executive

· Strong operational background in wealth management; process-oriented with excellent organizational and project management skills.

· Proficiency in Microsoft Office Suite, CRM systems (such as Salesforce or Redtail), and industry-specific platforms.

· Bachelor's degree required.

· Ability to multitask, prioritize, and thrive in a fast-paced environment.

· High level of discretion, EQ, and integrity

· Exhibits strong communication skills and an upbeat, team-oriented and proactive demeanor.
