POSITION DESCRIPTION The Browning School seeks an Executive Assistant to the Head of School's Office. The position is expected to begin in October 2025. The Executive Assistant to the Head of School's Office will provide dynamic support to Browning's Head of School and two Assistant Heads of School on a range of annual, ongoing and ad hoc projects. The Executive Assistant will help the Head's Office prioritize multiple projects; have strong organizational and time management skills; possess warm, engaging, oral and written communication skills; and have experience working in administrative support. Excellent interpersonal skills, a passion for being part of the school community and implementing operational and organizational strategies that allow school days to run smoothly, and a positive attitude will be central to the Executive Assistant's daily interactions with students, colleagues and parents. Commitments to professionalism and to maintaining confidentiality are essential in this role. The salary range for this position is $85,000-105,000. Applicants must be eligible to work in the United States. Primary responsibilities:

  • Coordinate calendars and schedules: Ensure the smooth flow of schedules, including populating and updating calendars with school events and regular meetings with colleagues, facilitating seamless transitions between meetings, helping to arrange all-school faculty meetings, preparing and sending a weekly school calendar, organizing room reservations, and directing follow-up action steps when applicable.
  • Ensure a well-organized and hospitable office: Maintain filing systems; stock supplies; and serve as a supportive presence willing to help all visitors, students, colleagues, and parents who call or come into the office for any reason. Confidentiality and discretion are vital.
  • Serve as administrative liaison to the Board of Trustees: Coordinate and schedule meetings of the Board and its committees throughout the school year; maintain the Board of Trustees' portal; compile monthly school life reports; take minutes of full Board meetings, collect and record attendance, conflict of interest forms, and update Trustee contact information.
  • Support project management of the Head of School's and Assistant Head of Schools' Offices, including offering assistance in maintaining databases, contacting vendors, and preparing reports.
  • Support the Head of School and Assistant Heads of School in sending communications to a range of constituents and school partners.
  • Engage with Front Office: Attend weekly operational meeting to forecast weekly schedule; offer occasional relief support to Front Office team, including answering incoming calls and assisting with general office functions.
  • Manage expenses for the Head's Office: Collect, reconcile, and submit receipts to the Business Office at the beginning of each month.
  • Support communications efforts: Partner with the Communications Office to format and send official correspondence through the Veracross system; update phone extension list in collaboration with the Technology Department.
  • Manage organization of special institutional activities, including the Opening Ceremony, the Winter Holiday Program, and Commencement.
  • Help organize travel and professional development logistics for members of the Head's Office, including transportation and bookings in collaboration.
  • Perform other duties as assigned by the Head of School.
Qualifications:
  • Proven experience as an Administrative Assistant with superior organization and project management
  • Proficiency with G-Suite platforms and databases
  • Experience and comfort interacting, in verbal and written form, with internal and external stakeholders
  • Previous calendar coordination experience
