Job Description :

Our client is in search of a proactive, service-oriented Executive Assistant with a strong team spirit to provide support to the President of the organization. This role demands meticulous attention to detail, exceptional communication and organizational abilities, sound judgment, and the utmost discretion. The Executive Assistant will seamlessly integrate with the executives they support, taking the lead in coordinating internal communications. The ideal candidate will thrive in a fast-paced, goal-oriented setting, exhibiting flexibility and poise. They will work independently on various projects, demonstrating the capacity to handle a large workload with minimal supervision.

Responsibilities:

  • Provide direct support to the President, occasionally assisting other team members and Executive Committee members.
  • Act as a strategic partner in managing executive schedules, prioritizing tasks, and ensuring focus on high-priority objectives.
  • Undertake a wide range of tasks, including managing complex calendars, handling expense reports, optimizing travel arrangements, and creating agendas.
  • Maintain strict confidentiality, acting as a trusted confidant to executives, exercising discretion, and upholding integrity.
  • Possess personalized expertise in executive preferences, scheduling, and communication styles, anticipating needs and proactively addressing them.
  • Streamline communication within the organization, ensuring prompt responses and clear messaging, and drafting emails and strategies as needed.
  • Develop and maintain a highly organized documentation system to enhance efficiency and reduce redundancy.
  • Coordinate and support team activities such as meetings, off-sites, and social events.
  • Track deliverables and follow up on outstanding tasks, including meeting notes and action items.

Required Qualifications:

Education and Experience Requirements:

  • Bachelor's degree in Marketing, Communications, English, Public Relations, Journalism, or a related field.
  • Minimum of 3-5 years of corporate communications, marketing, or agency experience.
  • Excellent communication, writing, and editing skills, with expertise in tailoring messaging for different audiences.
  • Seven to ten years of experience supporting C-Level Executives.
  • Proficiency in Outlook, PowerPoint, Excel, Word, web and video-based communication tools, and strong technical skills.

Compensation and Benefits:

  • $100,000-$120,000
