Our client, a Midtown Hedge Fund, is seeking an Executive Assistant/Office Manager to support members of executive team (CFO, General Counsel, Head of Business Development & Investor Relations, Head of Structured Products Trading and Head of Human Resources & Administration). This is a very fast paced role, so strong attention to detail, excellent communication skills, experience managing calendars and travel, and strong follow up skills are a must. Candidate must have strong organizational skills, be proactive and experienced managing multiple requests/projects simultaneously. This role is 4x days a week in their NY office (Mon through Thurs). This role reports to the Head of Human Resources & Administration.
Responsibilities: - Provide day-to-day administrative support
- Maintain Executive's calendars and keep key people apprised of changes
- Schedule and coordinate high volume of internal and external meetings
- Book travel arrangements including flight, hotel and ground transportation
- Submit expense reports
- Manage and assist with office administration and facilities including reception team of 2 (direct reports). This includes coordination and prioritization of team administrative responsibilities such office upkeep, catering, and inventory management
- Liaise with building management on various building and office-related issues, including office maintenance, requests, and repairs.
- MUST have high regard for employee confidentiality
- Ad hoc personal projects as needed
Requirements: - Minimum 5-7 years executive assistant and office management experience, preferably within financial services (preferred, but not required)
- Highly proficient in MS Outlook, Microsoft Office (e.g., Excel, Word, PowerPoint and Outlook) and related software
- Strong time management skills: ability to effectively balance multiple tasks with competing priorities
- Excellent organization skills; detail oriented
- Sense of ownership
- Proactive in following up on details, anticipating issues, and closing the loop on all requests
- Ability to exercise discretion when managing confidential information, working across multiple teams and functions
- Poise and highly professional interpersonal skills that can be trusted across a wide variety of interactions.
- Must be team oriented with an ability to work independently

Education: - Bachelor's degree required
Salary: $110-150K base (DOE) + discretionary bonus + EXCELLENT Benefits/Perks
