This is full-time Monday to Friday 9am to 6pm in Aventura, FL. Additional nights and weekends will be required as needed to support our events.

About The Role

We are seeking a resourceful and highly organized Executive Assistant to provide direct support to a C-level executive. This role blends traditional administrative duties with hands-on personal support, allowing the C-Suite team to focus their efforts on helping people across the world. You will be the trusted right hand, ensuring their day-to-day runs smoothly-both professionally and personally. The ideal candidate will encompass a true service mindset and own the responsibilities of providing best in class support to the executive.

Responsibilities

• Act as a point of contact and gatekeeper for the executive and manage all communication effectively.
• Schedule and organize meetings, calls, appointments, and events.
• Keep the executive informed and prepared at all times - clear and effective communication.
• Manage the executives calendar. Including scheduling meetings, appointments, and travel arrangements in a way that ensures all time is used effectively.
• Execute a wide range of personal and executive-level errands and tasks.
• Maintain discretion, confidentiality & professionalism in all settings.
• Coordinate travel arrangements (domestic and international), including flights, accommodations, and detailed itineraries.

Qualifications

• 3-5 years experience with assisting a Director level and above executive preferred
• 1-2 years experience managing and delivering projects
• Comfortable in a Mac/IPhone and Google workspace environment
• Highly organized and calm under pressure
• Clear communication skills, both written and verbal
• Proactive and solution orientated mindset
• Ability to duplicate requests and deliver projects as instructed

Additional Information

• Employment is contingent on a successful background check and negative drug screening
• Full-time, in-office role with flexibility for occasional evening or weekend work (minimum 20 weekends per year)
