A dynamic and fast-paced finance office is seeking an experienced and detail-oriented Executive Assistant to support a high-level executive with both professional and personal matters. Salary Range: $120,000 - $150,000 / year DOE Executive Assistant Responsibilities:
- Manage and coordinate complex domestic and international travel arrangements
- Maintain detailed calendars and schedules across multiple time zones
- Oversee and support management of private assets, residences, and vendor coordination
- Handle sensitive financial documents, wire transfers, and confidential correspondence
- Track and review invoices, flag discrepancies, and liaise with relevant stakeholders
- Provide administrative support for office needs including supplies, tech troubleshooting, and mail management
- Serve as a key point of contact for internal team members, external partners, and personal vendors
- Manage and follow up on personal tasks
- Prepare presentations, organize meetings, and ensure seamless execution of day-to-day priorities
Executive Assistant Requirements:
- 5-7+ years of experience supporting executive or C-suite level leaders
- Bachelor's degree required
- Strong proficiency in Microsoft Office Suite
- Tech-savvy with the ability to troubleshoot issues and manage digital documents securely
- Demonstrated ability to handle confidential information with integrity and discretion
- Excellent written and verbal communication skills
- Highly organized, with strong attention to detail and follow-through
- Comfortable with a hybrid schedule and occasional off-hours responsiveness
- Experience in a finance, legal, or investment setting is preferred
- Certified Notary is a plus
- Familiarity with vendor coordination and property management
