Role Overview

We're seeking a college-educated Executive Assistant with at least 2 years of experience in administrative or healthcare office roles. You'll directly support the Agency Owner/Administrator in operations, compliance, and program coordination—including oversight of our Dementia Guide Program and collaboration with our national partner network to expand resources for dementia care.

Key Responsibilities
  • Manage executive calendar, calls, and meeting prep.

  • Draft and organize communications, contracts, and IDPH compliance documentation.

  • Coordinate Dementia Guide Program activities, including scheduling, tracking, and reporting outcomes.

  • Serve as the liaison with national and local program partners, ensuring smooth collaboration.

  • Track authorizations, admissions, and schedule changes to ensure uninterrupted care.

  • Oversee caregiver documentation for accuracy and timely payroll submission.

  • Assist with billing verification, insurance/VA claims, and invoice reconciliations.

  • Maintain staff training and licensure records for IDPH readiness.

Qualifications
  • Bachelor's degree (required).

  • Minimum 2 years' experience in executive assistant or healthcare administrative role.

  • Familiarity with dementia care programs and IDPH standards (preferred).

  • Proficiency with Microsoft Office, scheduling systems (WellSky a plus).

  • Strong organizational skills and ability to manage multiple priorities.
