Location: Bloomington (Hybrid, 4 days/week onsite)

Hours: 40/week

Salary Range: $90,000 - $110,000

The Executive Assistant to the CEO is a key role responsible for providing comprehensive administrative support to the Chief Executive Officer and the Executive Team, while also managing office operations. This position requires exceptional organizational skills, sound judgment, and a commitment to maintaining the highest standards of professionalism and confidentiality. The ideal candidate will anticipate needs, think critically, and offer proactive solutions in a fast-paced environment.

Responsibilities

  • Provide sophisticated calendar management for the CEO, prioritizing inquiries and requests, troubleshooting conflicts, and making recommendations to ensure smooth daily engagements.
  • Complete a wide range of tasks that facilitate the CEO's ability to lead the organization effectively, including assisting with special projects, designing and producing complex documents and presentations, preparing information for meetings, composing correspondence, maintaining contact lists, arranging travel, and managing expense reports.
  • Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the CEO, handling sensitive or critical issues with discretion and sound judgment.
  • Keep the CEO well informed of upcoming commitments and responsibilities, acting as a barometer for issues in the environment and anticipating needs in advance of meetings or events.
  • Facilitate smooth communication between the CEO and staff by providing both gatekeeper and gateway support; demonstrate leadership to maintain credibility, trust, and support with the Leadership Team; assign projects as needed on behalf of the CEO.
  • Perform other duties as assigned or delegated, such as conducting research or supporting special initiatives.

Qualifications

  • Bachelor's degree in a relevant field such as business or similar.
  • 7-10 years of experience supporting C-level executives.
  • Expert proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); ability to design and edit graphic presentations and materials.
  • Strong knowledge of general business principles.
  • Demonstrated ability to make informed decisions regarding priorities and time management.
  • Proven ability to handle a high volume of tasks independently with attention to detail.
  • Excellent time management skills; self-directed and self-motivated with strong multitasking abilities.
  • Sensitivity to urgency; meticulous attention to detail; high tolerance for ambiguity; emotional maturity and stability.
  • Ability to maintain concentration under pressure while demonstrating integrity and trustworthiness in handling confidential information.
  • Excellent listening skills and project management abilities; capable of working with multiple priorities and delivering timely results.
  • Bilingual skills (particularly Spanish) are desirable but not required.
