Busy litigation law firm in downtown Los Angeles is looking for a full-time, in-office, Executive Assistant. The Executive Assistant supports our legal team and serves as a trusted liaison between attorneys and clients. The ideal candidate will be quick on their feet, a great communicator, organized, detail-oriented, and an excellent creative problem solver. This position is intended to primarily focus on supporting 3-4 attorneys by maintaining attorney calendars, general office duties, and other tasks to support the partners' organization and efficiency. Other responsibilities include:For a complete understanding of this opportunity, and what will be required to be a successful applicant, read on.* Provide high-level administrative support to attorneys and firm leadership, including calendar management, travel arrangements, meeting coordination, and court appearances.* Serve as a primary point of contact for clients, demonstrating empathy, discretion, and professionalism in all communications.* Draft, edit, format and proofread correspondence, legal documents, and internal communications.* Prepare engagement agreements and other client materials.* Maintain client files, both physical and digital, ensuring confidentiality and organization.* Prepare and manage billing processes, expense reports, and time entry tracking.* Support case preparation through scheduling, document gathering, and deadline tracking.* Handle incoming calls and emails with poise, urgency, and a client-centric attitude.* Maintaining attorney media calendar, manage social media accounts and other marketing mediums, including creating and posting social media content.* Maintains a compassionate, professional approach with every client interaction.* Planning and coordinating firm events.* Send outgoing mail, receive and track all incoming mail.* Drafting correspondences, emails, and documents.* Order office supplies and maintain a clean, organized office space.*Qualifications** Proven experience as an Executive Assistant, Legal Assistant, or similar administrative role in a law firm or professional services environment.* Exceptional interpersonal skills with the ability to engage with clients in a compassionate, respectful, and understanding manner.* Strong organizational and multitasking abilities, with acute attention to detail.* Excellent written and verbal communication skills.* Proficiency in Microsoft Office, Adobe, PowerPoint, Excel and legal practice management software (e.g., Clio, PracticePanther, or equivalent).* Ability to maintain confidentiality and handle sensitive information with discretion.Job Type: Full-timePay: $30.00 - $43.00 per hourBenefits:* Dental insurance* Health insurance* Paid time off* Vision insuranceSchedule:* Monday to FridayWork Location: In person
