This is a full time, Hybrid position – Tuesday, Wednesday, and Thursday in-office in Hartford office are required.

As the Executive Assistant, you must be a motivated self-starter with the ability to work independently with limited direction and supervision. Your proactive approach allows you to take on responsibility and a willingness to tackle assigned and non-assigned duties. As a ‘Strategic Partner' to your executive, it will be imperative that you have a good understanding of the Aetna business and the executive's role & responsibilities.

Key Responsibilities

  • Maintain the integrity of Executive's calendar by managing time effectively, allowing for transition between meetings and ensuring appropriate meeting format (in-person, video, direct call).
  • Review meeting requests with executive and schedule approved meetings.
  • Continuously review schedule to ensure it reflects calendar guidelines and business priorities, manage cadence of standing meetings thoughtfully.
  • Review daily meeting details to ensure agenda, time-zone sensitivity, pre-read and briefing are included.
  • Escalate calendar questions/conflicts for guidance and ensure timely resolution. Proactively communicate calendar changes and approval requests with executive.
  • Answer general questions; refer/redirect routine matters to other parties, as appropriate, and follow-up to ensure proper disposition. Resolve issues within specified policies and guidelines. Determine when executive action is required, providing insight and recommendation(s) as appropriate.
  • Coordinate large onsite and offsite team meetings and single day or multi-day events, including coordination with internal and external resources for services for catering, hotels, activities, presenters, Teams/video/conferencing/streaming.
  • Effectively manage travel plan and logistics, become familiar with executive travel preferences and execute accordingly. Plan ahead to book flights, hotel accommodations, ground transportation, and arrange meals, etc. Coordinate travel plans with other leaders/support teams as needed. Monitor travel and anticipate changes needed based on delays or other factors.
  • Manage accurate and timely processing of CVS Health business expenses.
  • Onboard new hires and contingent workers, including ordering equipment and setting up onboarding plans; maintain accurate job profiles for contingent workers; offboard termed employees.
  • Provide support on special projects as needed.
  • Actively participate in CVS Health's cross-functional network for Executive Administrative Assistants and be a vibrant participant and value to the community of EAs. Help support the community of World-Class EAs by onboarding and mentoring new EAs and sharing your skill and talents as a back-fill when peers go on vacation.

Required Qualifications

  • 7+ years' experience in administrative environment with Executive Assistant (EA) or equivalent experience.
  • 5+ years' experience with Windows desktop computer applications: Word, Excel, PowerPoint and Microsoft Team and collaborative tools.
  • 5+ years' experience core competency in managing executive travel, email, calendar, and contact list, budget and expenses.

Preferred Qualifications

  • Past work experience in the health care industry.
  • 4+ years supporting at a VP level or higher.

Education

  • High School diploma required or equivalent experience.
  • College Degree, preferred.
