An investment services organization in New York City is currently seeking an experienced Administrative professional to join their team as an Executive Assistant. Responsibilities: The Executive Assistant will be responsible for:
- Arrange, confirm, and manage extremely detailed calendars
- Schedule complex senior-level meetings and related logistics ensuring that the team is on time for all appointments
- Coordinate meetings with other staff; play a key role in the coordination of staff efforts both within and outside the department
- Serve as a liaison between all levels of internal staff, executive staff, external clients, and the public
- Manage email communication, including prioritizing emails and corresponding on behalf of the team; maintain and update Outlook Contacts
- Coordinate complex international and domestic travel including flights, hotel, ground transportation, travel advances and foreign currency
- Maintain business and personal files, faxing, scanning, and photocopying
- Compose and prepare letters relating to routine correspondence for the Executives signature
- Prepare, reconcile, and submit expense reports
- Provide coordination, monitoring, and communication of projects and programs related to the team
- Manage and pivot support based on rapidly evolving executive calendar (business and personal) on a real-time basis
- Perform other duties, as needed
Qualifications:
- 2+ years of Administrative experience
- Associate's ands/or Bachelor's Degree
- Excellent calendar management skills, including coordination of meetings/calls/events
- Experience scheduling domestic and international travel.
- Microsoft Office proficient
- Solid problem solving and time management skills
- Exceptional phone etiquette
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
