Job Description :

We are hiring a highly organized and resourceful entry-level Executive Assistant to support our VP of Operations and Regional Leaders in managing a dynamic portfolio of select-service Marriott, Hilton, and Best Western hotels. This role combines executive-level support, hotel operations reporting, and procurement/vendor coordination, making it ideal for hospitality professionals with both administrative and operational strengths.

Key Responsibilities

Executive Support

  • Manage executive calendars, travel arrangements, meeting preparation, and follow-ups
  • Draft internal communications, executive reports, and presentation materials
  • Coordinate leadership meetings, property visits, and cross-departmental initiatives
  • Maintain confidentiality and professionalism in all executive-facing interactions

Hotel Operations Support

  • Track and report KPIs (occupancy, ADR, RevPAR, labor metrics, guest feedback)
  • Assist with monthly performance dashboards and operational reporting for GMs and corporate leadership
  • Support budgeting, forecasting, and tracking of key initiatives
  • Collaborate with Regional Leaders to ensure brand compliance and performance monitoring

Procurement & Vendor Coordination

  • Obtain competitive quotes for repairs, maintenance, and capital projects
  • Coordinate vendor scheduling, approvals, and on-site execution
  • Maintain vendor records, contracts, warranties, and service logs
  • Support inventory planning and purchasing across the property portfolio

Qualifications

  • 2–4 years of experience in hotel operations, executive support, or procurement
  • Experience with Marriott and Hilton select-service brands strongly preferred
  • Familiarity with OnQ, Lightspeed, and FOSSI PMS systems
  • Advanced Excel and PowerPoint skills; comfortable with operational reporting tools
  • Strong communication, multitasking, and problem-solving abilities
  • Bilingual (English/Spanish) a plus
