We are hiring a highly organized and resourceful entry-level Executive Assistant to support our VP of Operations and Regional Leaders in managing a dynamic portfolio of select-service Marriott, Hilton, and Best Western hotels. This role combines executive-level support, hotel operations reporting, and procurement/vendor coordination, making it ideal for hospitality professionals with both administrative and operational strengths.
Key Responsibilities
Executive Support
- Manage executive calendars, travel arrangements, meeting preparation, and follow-ups
- Draft internal communications, executive reports, and presentation materials
- Coordinate leadership meetings, property visits, and cross-departmental initiatives
- Maintain confidentiality and professionalism in all executive-facing interactions
Hotel Operations Support
- Track and report KPIs (occupancy, ADR, RevPAR, labor metrics, guest feedback)
- Assist with monthly performance dashboards and operational reporting for GMs and corporate leadership
- Support budgeting, forecasting, and tracking of key initiatives
- Collaborate with Regional Leaders to ensure brand compliance and performance monitoring
Procurement & Vendor Coordination
- Obtain competitive quotes for repairs, maintenance, and capital projects
- Coordinate vendor scheduling, approvals, and on-site execution
- Maintain vendor records, contracts, warranties, and service logs
- Support inventory planning and purchasing across the property portfolio
Qualifications
- 2–4 years of experience in hotel operations, executive support, or procurement
- Experience with Marriott and Hilton select-service brands strongly preferred
- Familiarity with OnQ, Lightspeed, and FOSSI PMS systems
- Advanced Excel and PowerPoint skills; comfortable with operational reporting tools
- Strong communication, multitasking, and problem-solving abilities
- Bilingual (English/Spanish) a plus
